This position provides clerical and customer service support for department accounting, real estate, and election functions.

Overview

Accounting Clerk Duties

  • Answers telephone and greets visitors; provides information and assistance.
  • Opens, sorts, and distributes mail.
  • Processes voter registrations; scans and indexes election records.
  • Organizes and schedules poll worker training and orientation; prepares poll worker database and training materials.
  • Acts as the back-up to the Payroll Administrator.
  • Reviews and accepts budgets and nomination papers.
  • Archives all Board of Supervisors agendas, minutes and resolutions.
  • Maintains office calendars.
  • Updates social media accounts.
  • Designs, maintains, and updates a variety of forms, spreadsheets, and other documents.
  • Manages the county’s physical key inventory and maintains records for ID badges.
  • Performs related duties.

Real Estate Clerk Duties

  • Answers telephone and greets visitors; provides information and assistance; refers to appropriate staff or county office.
  • Assists with alcoholic beverage and tobacco sales permit processes.
  • Assists in attending Board of Supervisor meetings and preparing, writing, and reviewing Board meeting minutes.
  • Receives deeds and contracts; makes title changes for tax purposes from legal descriptions.
  • Conducts research on title questions; searches Recorder’s and Auditor’s office records utilizing the online Recorder system as well as original transfer books.
  • Responds to telephone, email, or in person inquiries and assists the general public, other county employees, surveyors, real estate agents, attorneys, abstractors, and other professionals regarding property legal descriptions, lot size, ownership, property addresses, tax parcels, plat maps, and office policies and procedures.
  • Assists with the maintenance of parcel credit applications and exemptions, including homestead, military, agland and family farm credit exemptions.
  • Assists with voter registration processing, including processing mailed voter registration forms and DOT registration forms; processes National Change of Address records.
  • Assists with absentee voting; distributes applications by mail and in person.
  • Assists in checking nomination papers and assists candidates in filing correct forms.
  • Proofreads documents, including budgets, for errors.
  • Initiates the subdivision process by checking the name, ensuring the proper documentation has been received and delivered, and communicating accordingly with the preparer.
  • Conducts the second review of the daily transfers and communicates with the Assessor’s Office on the completion of Tyler system review.
  • Reviews and communicates with preparers any recorded document placed on hold.
  • Performs related duties.

Education/Experience

  • High School diploma or equivalent.
  • One to two years related work experience or service in data entry, customer service & clerical work.

Knowledge/Skills/Abilities

  • Knowledge of customer service principles and practices.
  • Knowledge of modern office principles and practices.
  • Knowledge of computers and job-related software programs. Intermediate level knowledge of Microsoft Excel.

  • Skill in oral and written communication.
  • Attention to detail, with a team player attitude.

Physical Requirements / Work Environment

  • The work is typically performed while sitting at a desk or table or while standing, walking, bending, crouching, or stooping. The employee occasionally lifts light and heavy objects.
  • The work is typically performed in an office.
