About the Role
The Office Administrator plays a critical role in ensuring the smooth day-to-day operations of our corporate office. This highly organized and detail-oriented professional will manage office maintenance, handle administrative tasks, and provide exceptional support to our corporate team. The ideal candidate has a hands-on approach, thrives in a dynamic environment, and demonstrates a passion for creating an efficient and welcoming workplace.
This is a full-time, onsite position based at Pinnacle Fertility's headquarters in Scottsdale, AZ.
Key Responsibilities
- Manage mail, including opening, distributing, and processing check deposits.
- Maintain a clean and organized office environment, including submitting repair tickets and ensuring common areas and boardrooms are spotless.
- Order and stock office supplies to ensure inventory is always replenished.
- Greet visitors and handle meal orders, hotel bookings, and restaurant reservations.
- Oversee corporate apartments, including stocking fridges, coordinating with third-party cleaning services, and submitting repair tickets.
- Manage calendars for corporate team members and coordinate schedules for meetings and events.
- Reconcile credit card expenses for key corporate team members, including Beth, Deb, and Jayme.
- Plan and execute office activities and events, such as monthly birthdays, National Popcorn Day, and other onsite celebrations.
- Create and distribute the monthly office newsletter using Canva, highlighting events, birthdays, and key updates.
- Other duties and project as assigned
Position Requirements
Education: High school diploma or equivalent (required).
- Experience:
- Proficiency in Microsoft 365 (required).
- Experience managing travel arrangements (required).
- Experience with Concur, Bill.com, or similar reconciling software (preferred).
- Experience using Canva (preferred).
Skills:
Highly organized with strong attention to detail.
Excellent interpersonal and communication skills to engage effectively with visitors and team members.
Ability to multitask and prioritize in a fast-paced environment.
Salary Range: $50,000 - $70,000 annually (final offers based on experience, skills, and qualifications).
