Job Title: Office Manager

Department: Office of Clergy Discipline

Location: Detroit, MI

Reports To: Episcopal Vicar for Clergy Discipline and, subordinately, the Deputy to the Episcopal Vicar and Director of Canonical Services

Job Summary: The Office Manager will provide high-level administrative support to the Office of Clergy Discipline. This role requires conscientious discretion, the ability to deal with matters that do not have immediate resolve but nevertheless need to be monitored and tracked, and the capacity to learn on the fly. The ideal candidate will manage daily office operations, coordinate communications, and ensure the smooth functioning of the office.

Key Responsibilities

  • Office Management: Oversee the daily operations of the office, including managing schedules, coordinating meetings, and maintaining office supplies.
  • Records Management and Retention: Maintain the orderly and up-to-date digital and physical records of the office. Digital records are maintained in SharePoint and will require a familiarity with the interface for generating reports for staff.
  • Case management: Much of the work of the Clergy Discipline Office involves overseeing judicial and administrative processes that assist the Archdiocese and its clergy provide the Church’s ministry to Catholics in southeast Michigan. Managing these processes will require the Office Manager to anticipate and triage time-sensitive matters and be forthright and direct interaction with team members to refocus efforts according to the priority of the project(s).
  • Communication Coordination: Act as the primary point of contact for internal and external communications, ensuring timely and accurate dissemination of information.
  • Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
  • Problem-Solving: Address and resolve issues as they arise, demonstrating the ability to deal with ambiguity and make decisions independently.
  • Learning and Adaptability: Continuously learn and adapt to new processes, technologies, and changes within the organization.
  • Support to the Episcopal Vicar and his Deputy: Provide administrative support to the Episcopal Vicar for Clergy Discipline and his Deputy, including preparing reports, managing correspondence, and assisting with special projects. Also, supports the Episcopal Vicar in his role as the Archbishop’s Delegate to the Archdiocesan Review Board and Coordinator of the Integrity Panel.

Qualifications

  • Education: Bachelor's degree in business administration, Management, certification as a paralegal or a related field preferred. At least three years of experience as a paralegal in a mid-to-large law firm is preferred.
  • Experience: Minimum of 3-5 years of experience in office management or a similar administrative role.
  • Skills:
    • Excellent organizational and multitasking abilities.
    • Strong communication and interpersonal skills.
    • Proficiency in Microsoft Office Suite (SharePoint, Word, Excel, PowerPoint).
    • Ability to handle sensitive information with discretion.
    • Problem-solving skills and the ability to deal with ambiguity.
    • Quick learner with the ability to adapt to new situations.
  • Preferred Certifications or Training:
    • Certified Administrative Professional (CAP) certification.
    • Training in project management or a related field.
    • Certification in Microsoft Office Specialist (MOS).
    • Training in confidentiality and data protection.

  • Background Checks: Successful completion of all required personal background checks and legally mandated trainings.
