Overview
Gateways Hospital and Mental Health Center, located in Los Angeles, is a non-profit organization that provides a comprehensive range of mental health services for Children, Adolescents, Transitional Aged Youth, and Adults in the Greater Los Angeles area. The organization includes a standalone fifty-five (55)-bed hospital and six outpatient facilities, with approximately four hundred (400) employees.

Summary of Position
The Office Manager is responsible for front office operations and related administrative duties to support CONREP Administration and FCTP. This includes answering and directing telephone calls, assisting clients and visitors at the front desk, handling typing, data entry, copying, filing, managing mail and courier tasks, and coordinating with various departments. The Office Manager oversees life safety processes, collaborates with Business and Finance Offices, and participates as a member of the FCTP Safety Management Team. The role involves coordination with the FCTP clinical team, CONREP Administration, and related staff, and may require involvement in client transfers and support documentation during crises. The position requires maintaining a clear criminal record for continued employment eligibility.
Essential Duties
- Performs daily office operations including switchboard/telephone communications, signing clients and visitors in/out, validating parking passes, typing, copying, and filing.
- Operates and understands basic maintenance procedures for office machines.
- Maintains working knowledge of current computer software and hardware.
- Manages notification of computer problems, facility maintenance concerns, and supply needs; coordinates with Administrative Assistant as needed.
- Organizes and maintains program forms; delivers and sorts mail; coordinates interoffice mail with hospital.
- Communicates with Engineering and Housekeeping regarding facility needs; orders supplies and maintains office equipment.
- Schedules monthly urine drug screens (UAs).
- Ensures smooth operation of administrative functions within the program, including client finances, invoicing, information tracking, and collaboration with other departments and outside agencies.
- Acts as Safety Officer and notifies clients of appointments or changes/cancellations.
Essential Skills
- Typing ability of 40 words per minute without errors.
- Knowledge of office machines and computer software (Windows, Microsoft Office Suite, PDF readers).
- Ability to operate a basic telephone system and take accurate messages.
- Strong written and verbal English communication skills.
- Ability to produce reports and business correspondence with attention to detail.
- Effective interpersonal and organizational skills; ability to work independently with frequent interruptions.
- Flexibility in meeting deadlines and prioritizing tasks; ability to make decisions independently when necessary.
- Ability to work with coworkers, visitors, community members, state hospital staff, and law enforcement; relate effectively to adults, older adults, and mentally ill clients.
- Ability to handle encounters with clients who may be unstable or under influence, using good judgment and remaining calm in crisis situations.
- Ability to cope with stressful situations.
Qualifications
Education & Certificates:
- High School Diploma
Experience/Qualifications:
- Two (2) years of general typing, clerical, and receptionist experience with at least one (1) year at an executive or administrative level.
Requirements:
- Valid California Driver’s License.
- Driving record acceptable for coverage by Gateways insurance carrier.
