About the Role

Infrastructure Engineering Inc. (IEI) is looking for an experienced Office Engineer to join our Team! We are a leading engineering firm known for quality and responsiveness and a proven track record of success as a Prime civil engineering firm. The Office Engineer will provide essential technical and administrative support to the project's construction management team. This role is responsible for managing the flow of technical documentation, maintaining accurate project records, and ensuring that contractual and procedural requirements are met.

The Office Engineer will also act as a key liaison between the Construction Contractors, the Design Compliance Team, and the Construction Compliance Team to facilitate the timely processing of submittals, RFIs, and other critical project communications. Essential Duties and Responsibilities

Includes, but not limited to, the following:

  • Manage, coordinate, and administer the delivery and review of shop drawings, product data, and other submittals as required by the construction contracts.
  • Maintain record copies of all contracts, drawings, change orders, and other modifications in good order, keeping them current to record changes made during design and construction.
  • Utilize the MTA Electronic Design Management System (EDMS) and Electronic Construction Management System (CMS) for all record-keeping activities.
  • Assist in preparing project status reports regarding the progress, schedule, and quality of the project work.
  • Coordinate and track the receipt and distribution of documents such as letters, drawings, reports, and Requests for Information (RFIs).
  • Maintain and update a daily project log containing a record of the number of workers, identification of major equipment, work performed, problems encountered, and other relevant data.
  • Manage and maintain a complete project record, including a visual record (progress photos), of all activities that may be used as a basis for or in defense of claims.
  • Ensure that all daily diaries and progress photos are uploaded to the EDMS/CMS within twenty-four (24) hours of creation.
  • Assist in scheduling, facilitating, and administering regular project meetings.
  • Prepare and promptly distribute minutes of project meetings, ensuring discussions on procedures, progress, and scheduling are accurately captured.
  • Facilitate the resolution of project issues by conducting research, interpreting contractual intent for recommendation, and providing the Project Management Team (PMT) with the positions of different parties.
  • Organize, store, and maintain material samples to be used during construction in a dedicated sample room, ensuring proper identification and data are associated with each sample.
  • Store, display, and manage scale or full-size mock-ups, maintaining digital records of any mock-ups that are discarded.
  • Maintain an updated list and contact information for key individuals involved in the review and approval of architectural materials and installations.
  • Provide professional and administrative assistance for claims and counterclaims, including preparing factual summaries, schedule analyses, and chronological events.
  • Apply project plans, along with company policies, guidelines, standards, specifications to the work and make decisions.
To Be Successful
  • A minimum of 3 - 6 years of experience as an Office Engineer or in a similar role on large-scale infrastructure or transit construction projects.
  • Bachelor's degree in construction management or engineering (Civil, Structural, Mechanical, or Electrical), or a related field is preferred.
  • Proficiency in using construction management software (e.g., EDMS, CMS, Unifier, ProjectWise) for document control, RFI, and submittal management.
  • Excellent organizational, written, and verbal communication skills.
  • Intermediate to advanced knowledge of Microsoft Office 365 (i.e. Word, Excel, PowerPoint, Outlook and Teams)
  • Thorough understanding of construction documentation, including reading and interpreting drawings and specifications.
  • Ability to work effectively in a fast-paced, collaborative project office environment.
  • Experience in working with blueprints and working with MicroStation and AutoCAD.
  • Engineer-In-Training Certification is preferred.

Pay Range: $115,000 - $135,000 per year
