Position Overview

We are currently seeking an Office Coordinator to join our North Las Vegas, NV team! The Office Coordinator supports the Office Manager in executing the daily operations of a regional office at Summit Line Construction. This role contributes to the smooth coordination of administrative tasks, onboarding, scheduling, payroll support, document control, communication, and basic AP/AR functions. The Office Coordinator ensures efficient workflow, compliance with documentation and timekeeping requirements, and timely financial transaction processing in support of project and field teams.

Work Location: North Las Vegas, NV — this is a full-time, in-office (not remote or hybrid) position.

What You\'ll Do

Key Responsibilities

  • Administrative & Operational Support: Assist with daily office functions, maintain organized office supply inventory, support the Office Manager in preparing operational reports and updates for leadership, and maintain a safe and organized office environment (schedule maintenance and cleaning services as needed).
  • Employee Onboarding & Support: Schedule onboarding meetings and safety orientations, ensure new hire documents and DOT compliance paperwork are submitted and logged promptly, upload onboarding documentation into HRIS, and coordinate with field supervision and HR.
  • Payroll & Timekeeping: Collect and review daily timesheets, prepare payroll summaries, and track temporary wage/job changes for union employees.
  • Scheduling & Calendar Management: Maintain regional calendar for meetings and trainings, schedule rooms/travel/logistics, and distribute reminders and follow-ups.
  • Client & Stakeholder Communication: Serve as a secondary support contact in the Office Manager\'s absence, draft internal communications, and provide timely professional responses.
  • Document Control & Compliance: Organize and file employee, safety, and project documents; track deadlines for certifications and training; assist with internal/external audits.
  • Accounts Payable / Accounts Receivable Support: Assist with project invoices and billing documents, track invoice deadlines, code and submit vendor invoices, and maintain logs for outgoing/incoming payments.

Qualifications

  • Education: High school diploma or GED required; associate degree or relevant certification preferred.
  • Experience: Minimum 2 years of administrative experience, preferably in construction or operations; payroll or AP/AR experience is a plus.
  • Technical Skills: Proficiency in Microsoft Office Suite; familiarity with HRIS or ERP systems preferred.
  • Organizational Skills: Strong attention to detail and ability to manage multiple priorities.
  • Communication: Clear written and verbal communication; professional interaction with internal teams and external contacts.
  • Compliance: Must pass mandatory drug and alcohol screening.
