Job Summary
We are seeking an Office Administrator to provide administrative and operational support to the Denver office and its team members.
This is a part-time role based out of MTC’s Denver office. To best serve our clients, the qualified candidate must be in-office Monday-Friday, 9:00am-2:30pm.
Primary Duties and Responsibilities
- Provides comprehensive administrative support to the Denver Team.
- Serves as point of contact for clients and prospective clients.
- Responds to account inquiries from clients and prospective clients.
- Acts as receptionist and directs calls to appropriate staff.
- Collects, scans and distributes mail.
- Processes bill pay and requested distributions for clients and beneficiaries.
- Scans various account documents to Laserfiche.
- Maintains contact list for centers of influence, clients, and vendors.
- Greets and assists visitors to the Denver office.
- Completes special projects and other related duties in keeping with the trust company’s fiduciary responsibilities.
- Performs out of office tasks including, but not limited to, delivering mail and packages to post office, picking up office supplies etc. using personal vehicle.
- Assists with completing account opening and closing paperwork.
- Serves as dual control agent with Trust Officer.
Required Skills/Abilities
- Bilingual, fluent in both English and Spanish, preferred.
- Excellent verbal and written communication skills including the ability to effectively interact with all levels within the organization.
- Excellent interpersonal and customer service skills.
- Proficiency in technology, including the ability to effectively use a variety of software programs and operating systems.
- Strong analytical skills with an attention to detail.
- Proven ability to take initiative, find and provide solutions.
- Ability to multi-task and meet deadlines.
- Ability to work independently.
Education and Experience
- High School Diploma required.
- Minimum three years of customer service experience required.
- Minimum three years of professional office experience required.
Physical Requirements
- Ability to navigate various areas of an organization’s physical premises.
- Ability to remain in a stationary position for prolonged periods.
- Ability to effectively operate a computer and other office equipment.
- Ability to move boxes, inventory, and materials weighing up to 15 pounds at one time.
- Occasional travel required for meetings, conferences, etc. as requested.
