Overview

We are a fast-paced Managed Service Provider (MSP) delivering IT solutions to businesses across various industries. We are seeking a highly organized and proactive Office Manager to oversee daily administrative operations and serve as a central point of contact between leadership, employees, vendors, and clients.

This role is ideal for someone who thrives in a dynamic environment, enjoys problem-solving, and can balance operational responsibilities with a strong customer service mindset.

Key Responsibilities

  • Administrative & Office Operations: Manage day-to-day office activities to ensure smooth business operations
  • Answer incoming phone calls, direct inquiries, and provide excellent customer service
  • Oversee shipping, receiving, and inventory of office supplies and IT equipment
  • Process and deposit incoming checks, maintain financial tracking logs, and coordinate with accounting as needed
  • Coordinate procurement of IT hardware, software, and general office supplies
  • Manage vendor relationships, negotiate pricing, and track orders for timely delivery
  • Act as a liaison between internal technical teams, leadership, and vendors to resolve service or order issues

HR & Employee Support

  • Assist with onboarding new employees, maintaining employee records, and coordinating training sessions
  • Organize company events, employee engagement initiatives, and internal communications
  • Serve as a point of contact between employees and leadership for HR or operational concerns

Executive Support

  • Provide direct administrative support to the CEO, including calendar management, scheduling, and correspondence
  • Coordinate communications between departments to support operational alignment
  • Assist with special projects and business initiatives as needed

Qualifications

  • Proven experience as an Office Manager, Administrative Manager, or similar role (experience in MSP or IT services strongly preferred)
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Proficient in Microsoft 365 (Outlook, Excel, Word, Teams)
  • Experience in procurement, vendor management, or basic accounting a plus
  • Ability to manage confidential information with professionalism and discretion
  • Comfortable juggling multiple priorities in a fast-paced, evolving environment
