Responsibilities

  1. Oversee and support the daily operations of the dental practice, including patient flow, scheduling, and office functions.
  2. Ensure the practice is aligned and operating within P26 protocols, KPIs, and SOPs.
  3. Act as the primary point of contact between the practice location and P26’s regional and/or Parallel 26 Management Services support teams.
  4. Participate in weekly or monthly operations and practice performance check-ins with P26 leadership, sharing data and insights from the practice.
  5. Monitor and maintain compliance with OSHA and HIPAA and ensure all office staff are up to date on required trainings.
  6. Supervise and support front and back-office staff, conduct performance evaluations and support employee development, gathering feedback from doctor/s and team leads.
  7. Schedule office staff, monitor for missed or late punches, and approve PTO as appropriate, obtaining coverage for staff absences as needed.
  8. Promote a positive, team-oriented office culture aligned with P26 values.
  9. Collaborate and participate with P26 leadership in recruiting, onboarding, and training new team members at the practice level.
  10. Monitor and report to regional manager daily on practice performance metrics.
  11. Assist revenue cycle team in resolve billing issues, as needed.
  12. Oversee collections, ensure proper daily reconciliation, and bank deposits are delivered.
  13. Ensure practice invoices are transferred to Account Payable in a timely manner.
  14. Monitor office supply inventory and place orders as needed.
  15. Reconcile lab invoices to ensure all procedures were billed accurately.
  16. Drive successful achievement of team and practice goals in part by ensuring the provider schedule is optimized for efficiency and productivity.
  17. Support doctor/s by serving as a liaison between dentist(s), staff, and patients to ensure smooth communication and workflow.
  18. Resolve patient concerns and escalate complex issues to the appropriate departments (clinical director, compliance, or central support) as needed.
  19. Ensure implementation of P26 initiatives, new software rollouts, or compliance updates.
  20. Troubleshoot technology system issues and coordinate with IT or vendor support when needed.
  21. Collaborate and support marketing initiatives at the practice.
  22. Ensure accurate documentation and timely completion of all recare and reactivation checklists.
  23. Responsible for treatment plan management and follow up.
  24. Effectively and efficiently manage special projects as assigned.

Qualifications

  • 5+ years of experience working in a dental setting in an administrative position is preferred.
  • Experience working with digital radiography, electronic health records (EHR), or other dental software is advantageous.
  • Personal responsibility to adhere to all company policies, practices and government
