Job Description

Summary: Colby College launched a major fundraising campaign and aims to maintain a cohesive and dynamic environment for students, alumni, and donors. The administrative assistant supports senior management in College Advancement, including calendar management, travel arrangements, and expense processing, and will support various functions across the department.

Essential Functions

  • Perform efficient, proactive, and detail-oriented support of senior management in College Advancement as requested, including calendar, travel arrangements, and expense management
  • Schedule meetings and conference rooms, prepare agendas and supporting documents, facilitate catering arrangements, and ensure technology set up as needed
  • Support video call-in meetings; assist remote staff to participate in meetings and opportunities via video call-in software
  • Field, research, prioritize, and follow up on alumni and donor-related issues and concerns via phone, email, and in-person; determine appropriate action, referral, or response
  • Perform data entry including record keeping, mail merging, filing, and proofing of alumni, parent, and guardian data
  • Assist with preparing new fund request forms and gift entry forms; maintain correspondence records in database
  • Support recruitment of new team members through HR liaison, interview setup, and travel arrangements
  • Serve as a resource for data management with the Raiser’s Edge / NXT database and Fundraiser Performance Management tool; assist with data entry, queries, requests, and issue resolution
  • Provide event and travel support for internal and external constituencies, including scheduling, catering, setup, staffing, RSVP tracking, budgeting, and contract arrangements
  • Provide general back-up support for other College Advancement administrative assistants as appropriate
  • Prepare, proofread, and print letters, emails, and other communications
  • Assist in mailroom operations as needed; create, print, and post mailings
  • Generate letters and send emails to alumni, parents, guardians, and other constituents

Qualifications

Minimum Qualifications

  • High school diploma or equivalent required; post-secondary education or professional coursework are a plus
  • A minimum of 1–3 years of previous administrative professional experience

Preferred Qualifications Or Skills

  • Strong computer skills with extensive data entry, word processing, and computer system operations; significant experience with Microsoft Office Suite
  • Ability to learn advancement database programs and new software quickly
  • Attention to detail and accuracy; ability to handle confidential information tactfully
  • Excellent interpersonal, communication, and organizational skills with motivation
  • Ability to manage multiple projects and priorities to meet deadlines
  • Strong business English, proofreading, and spelling skills
  • Ability to collaborate in a fast-moving environment and contribute as a team member
  • Ability to work independently, exercise judgment, and manage projects with minimal supervision

Physical/Mental Demands

The role requires maintaining confidentiality, meeting deadlines, handling diverse interactions, and occasional physical demands such as lifting up to 35 pounds. The work environment may involve interruptions and the need to shift focus quickly.
