Work Schedule:

15-20 hours per week; shifts based on operational need of the organization. This position will work primarily in-person with the opportunity to work remotely.

OVERVIEW

Associated Students, Inc. employs student-focused professionals with equity-mindsets. Established in 1963, ASI is a non-profit corporation guided by a student board and managed by full-time professional staff. ASI is considered a part of the Cal Poly Pomona Division of Student Affairs with a dashed reporting line to Administrative Affairs. ASI serves the entire campus population, including over 27,000 students, by providing opportunities for student engagement, student employment, and a multitude of programs and services such as recreation and wellness, student union and activities, student government, and childcare. ASI operational support areas include human resources, financial services, information technology, facilities management, and marketing. ASI is engaged in the work of being a learning organization. Currently, the guiding ideas of the organization are "under construction" as the team re-imagines its vision, mission, and core values. POSITION DEFINITION

Under general supervision from the Marketing Project Manager, the Projects and Operations Supervisor supports Marketing, Design and Public Relations (MDPR) department business operations as well as collaborates with the MP Manager to maintain a steady workflow among the MDPR team. The Projects and Operations Supervisor assists the MP Manager with leading the management of all work orders/creative requests projects and overseeing the day-to-day operations of the supporting part-time student team.

ESSENTIAL DUTIES Supervises, reviews, and assigns projects to the Projects and Operations Assistant Assist with the recruitment, interviewing, training, scheduling, performance reviews, and supervision of Operations staff Approves staff timecards for payroll for the Projects and Operations Assistant Provides day-to-day support to the Projects Operations Assistant Assists in developing and documenting training materials and processes for the Projects and Operations team Manages the internal expense tracking system for the department Serves as a project manager for various creative requests Generates marketing material quotes as well as batch invoices for completed projects Follows up with vendors regarding promotional material quotes and status Distributes customer satisfaction surveys Processes and manages incoming work orders Facilitates client correspondence including walk-in customers Leads the process of the ASI name badging system Orders and maintains office supplies Performs other duties as assigned QUALIFICATIONS

Experience with Monday.com and OnBase required, may be supplemented with similar software Ability to exercise independent judgment and decision-making Six months supervisory experience preferred Experience training others in a work environment preferred Ability to coordinate the work of others Great customer service skills Excellent grammar, written and verbal communication skills Ability to pay keen attention to detail, strong strategic thinking, analytical and critical problem-solving skills Knowledge of print production and promotional materials estimates, preferred Strong knowledge in math calculations such as markup and tax Proficiency in Microsoft Office Suite, especially Excel and Word Ability to manage time in a demanding, deadline-driven environment Demonstrated ability to work with an ethnically diverse and culturally pluralistic student population and campus community

EMPLOYMENT ELIGIBILITY

Employment with ASI is open to any Cal Poly Pomona student who is at least 16 years old and of legal status to work in the United States. In addition, the employee must be currently enrolled for at least 6.0 units (undergraduate) and 4.0 units (graduate), international student employees must be enrolled in a minimum of 12.0 units (undergraduate) and 6.0 units (graduate) at the end of the drop-add period, have a minimum 2.0 GPA (both Cal Poly Pomona and overall GPA) and be in good standing with the University. Individuals enrolled only in Extended University are not eligible for hire. Exceptions to the unit load requirement are allowed during the summer and winter semesters and for students who have applied for graduation for the current semester.

WORK ENVIRONMENT

Frequently required to sit, talk and hear; manual dexterity, eye-hand coordination and verbal communication; use of office equipment: computer, printer, telephone, calculator, copier and fax. Must be able to walk, stand, bend and lift up to 25 pounds.

In compliance with the California Child Abuse and Neglect Reporting Act (CANRA) and the CSU Executive Order 1083, each ASI employee is designated as a mandated reporter and is required to sign an Acknowledgment of Mandated Reporter Status and Legal Duty to Report Child Abuse and Neglect.
