Responsibilities

  • Screens and handles routine matters for the Office of Vice President; performs administrative duties such as drafting, editing, and typing complex reports, developing, implementing and maintaining appropriate office protocol and organization, as well as competently executing or delegating the day-to-day administrative tasks.
  • The Executive Assistant for the Office of Vice President will also be supporting the Director of Operations and will be a part of an Executive Assistant network to manage the schedules and daily administrative tasks for executive leadership and board members.

Hours

Days/40 hours

Education: Requires two years college level coursework, technical business school or equivalent. Bachelor’s degree preferred.

Qualifications

  • Knowledge: Thorough knowledge of secretarial, office and administrative procedures; knowledge of standard PC word processing, spreadsheet and graphics applications.
  • Proficiency in Microsoft Word, Microsoft Excel, and PowerPoint (percentages indicate typical usage expectations).
  • Knowledge of standard office equipment; extensive knowledge of business and/or medical terminology.

Skills

  • Interpersonal skills to handle sensitive and confidential situations with poise, tact and diplomacy, and ability to interact with diverse groups within the Institution and external agencies.
  • Analytical ability to gather and interpret data from different sources; strong problem-solving skills.
  • Specialized secretarial skills such as office management, shorthand, statistical typing and bookkeeping.
  • Keyboard skills at the equivalent of 30 WPM.
  • Mathematical skills appropriate to understand and perform basic budget and spreadsheet functions.
  • Excellent command of English grammar and spelling.
  • SAP and CONCUR experience a plus (expense reports, processing reimbursements, etc.).
  • Advanced executive leadership scheduling and meeting coordination.

Salary Range: Minimum 22.00/hour - Maximum 36.32/hour. Compensation will be commensurate with equity and experience for roles of similar scope and responsibility.

In cases where the range is displayed as a $0 amount, salary discussions will occur during candidate screening calls before any subsequent compensation discussion with the hiring authority.
