General Definition of Work

Under limited supervision performs a variety of administrative duties to support the activities of the Principal. This is an in person position. Not a remote position.

General knowledge of standard office practices, procedures, equipment and office assistance techniques. General knowledge of district and departmental programs and policies and terminology. General computer knowledge required; Ability to meet the public effectively. Ability to read and understand moderately detailed policies, procedures and job related materials. Ability to express ideas clearly and accurately orally and in writing. Ability to operate standard office equipment and related hardware and software. Ability to learn specialized equipment and software based on district needs. Ability to follow oral and written directions. Ability to interact professionally and appropriately with the public and district staff in person and on the telephone. Maintains and utilizes the computerized student information system including student enrollment information, demographics, immunizations and emergency contact information. Maintains computer records of students' scores on state mandated tests and standardized tests. Prepares and or maintains computer records of student attendance; enters data from submitted forms, review late-arrival forms, and reconciles absences to create absence and tardy reports. Prepares correspondence to parents to advise them of excessive absences according to established policies and procedures. Maintains and generates, and distributes students demographic, scheduling and grading information. Maintains records of student suspensions, student withdrawal from school, record reasons for students withdrawal and student's plans and prepares periodic statistical reports. Facilitates transfers of student information between schools. Prepares attendance reports and reconciles manual and computer reports. Provides information and training to school staff on the use of the student information system and application of data from the system. Generates excel spreadsheets for Administration and teachers as needed. Performs routine maintenance on computers and peripheral equipment. Coordinates user security within the student information system with district personnel. Attends conferences and classes to develop and maintain knowledge of database management and the student information system. Accesses the Internet to download student information and upload files. Enters school schedule information into the information system. Types letters, memos, reports, bulletins, student files and records. Prepares customized reports for local school needs Sends correspondence to parents to advise them of excessive absences according to established policies and procedures Performs advanced scheduling, which includes assisting administrators in determining needs and identifying solutions when less than 100% scheduled Continuously maintains student schedules throughout the academic school year Processes information and forms for obtaining academic progress information Runs and distributes report cards and related academic reports Interfaces with a teacher electronic grade book where applicable Records and maintains a disciplinary and suspension tracking system Performs other related tasks as required. Prepares and maintains financial systems and records. Receives, receipts, accounts for, and deposits school funds daily. Prepares invoices for payment, checks for documentation, charges, discounts and approval. Maintains internal audit policies and procedures. Prepares purchase orders and checks for purchases made by school. Posts receipts and disbursements to school fund accounts. Prepares daily report of funds received and deposited as well as funds disbursed. Reconciles bank statements. Prepares a wide variety of accounting, fiscal, statistical and similar reports. Prepares for and assists with outside audits. Maintains financial records for funds allotted to school Purchases supplies and maintains inventory Prepares, submits, and maintains payroll information. Essential Functions

Receives, prepares and maintains records and files. Receives and coordinates service and facility requests. Receives, processes and distributes incoming and outgoing mail and material; maintains mailing lists, files and indexes. Collects and prepares data for records and reports. Types a variety of documents including correspondence, forms, reports, purchase orders, etc. Enters a variety of data into computer; verifies statistical and other records for accuracy and completeness. Copies, binds and distributes reports and booklets. Enters and retrieves sensitive and restricted information into computer system. Performs other related tasks as required. Physical Requirements

This work requires the occasional exertion of up to 10 pounds of force; work regularly requires sitting, speaking or hearing, using hands to finger, handle or feel and repetitive motions and occasionally requires standing, walking, stooping, kneeling, crouching or crawling, reaching with hands and arms, pushing or pulling and lifting. Work has standard vision requirements. Vocal communication is required for expressing or exchanging ideas by means of the spoken word. Hearing is required to perceive information at normal spoken word levels. Work requires preparing and analyzing written or computer data, operating machines and observing general surroundings and activities.
