Performs a wide variety of cross-coverage duties to provide clerical and/or clinical support to physician practices, including but not limited to patient reception, flow and care. Maintains patient electronic records and ensures adequate office and medical supplies for assigned areas. Explains policy and procedure and routes patient information. Answers phone calls and assesses as necessary. Works closely with Centralized Appointment Scheduling to maximize patient levels. Provides clinical support as assigned under the direction of Medical providers.

Responsibilities

  • Performs various reception duties: answers phones, processes patients and accurately reviews/enters demographic and insurance information into the system
  • Operates office equipment (fax, copier, credit card scanners, etc.)
  • Assists Office Manager with projects and requests
  • Ensures compliance with company/financial policy and procedure
  • Maintains reception area and workspace in a neat, clean order
  • May float to other areas as required by business needs
  • Manage patient appointments and registration; provide patient care as directed
  • Greet patients and visitors promptly; answer all calls within three rings
  • Review and update patient information, including insurance verification, in the system
  • Scan insurance cards and photo IDs at registration
  • Obtain pre-certifications for visits, tests, and procedures as required
  • Perform call-backs to patients as directed and follow post-visit scheduling protocols
  • Process patient payments daily; collect co-pays, self-pay, and past-due balances
  • Post and close daily batch; submit cash and checks to Office Manager
  • Obtain authorizations for specialists within 24 hours of visits; document data in the system
  • Identify carved-out insurance benefits and document accordingly
  • Provide patient information to insurance companies to support medical necessity
  • Schedule diagnostic tests and procedures as designated
  • Collect health history and baseline data; perform routine clinical assessments (e.g., vital signs, EKG, PFT)
  • Collect urine and blood samples per protocol; disseminate information as appropriate
  • Perform simple lab tests per policy; review patient records for completeness
  • Prepare patient records for provider review; monitor and return lab/test results
  • Assist in patient care and maintain clinical areas: suturing, wound care, and other procedures under medical direction
  • Restock exam rooms and ensure clean, sterile environments; dispose of lab and medical waste properly
  • Maintain quality controls and records for lab equipment

Minimum Educational / Qualifications

High school graduate. Prefer six months of experience as a medical secretary, patient access, customer service representative, or other healthcare-related experience.

Licensure / Certification

State/federal licensure or certification: None required.

Additional Requirements

General hospital orientation at time of hire; annual fire/safety/infection control training; other programs as mandated.

Demonstrated proficiency in electrocardiographic testing; ability to take vital signs; knowledge of medical terminology, anatomy and physiology; familiarity with medical equipment used in a practice. May be required to float to other areas as business needs dictate.

Physical and Cognitive Requirements

Bending, stooping, walking, and sitting; standing for long periods; extensive computer use; ability to hear and read for routine conversations and data entry; ability to communicate clearly; ability to perform basic calculations for medications and tests; knowledge of CLIA requirements.

Work Environment

Medical office setting with direct exposure to patients and potentially infectious materials; high volume of telephone and personal contact.
