Position Overview

We are seeking a Client Operations Coordinator to join our growing team. This role is the backbone of client onboarding and retention. You will manage communication with case managers, coordinate service agreements, oversee compliance deadlines, and ensure smooth transitions from referral to ongoing care. If you are highly organized, detail-oriented, and motivated to make a difference, this is the role for you.

Key Responsibilities

• Serve as the primary point of contact for case managers, clients, and families.
• Process incoming referrals and coordinate client intakes.
• Track and manage service agreements, authorizations, and expiration timelines.
• Ensure compliance with 245D requirements, including timely 45-day paperwork and annual reviews.
• Communicate with employees regarding client assignments and scheduling needs.
• Maintain accurate documentation
• Follow up with case managers proactively to prevent gaps in services.
• Collaborate with leadership on client satisfaction and retention strategies.

Qualifications

• Experience in healthcare administration, case management, or operations (preferred, not required).
• Strong organizational skills with the ability to manage multiple priorities.
• Excellent written and verbal communication skills.
• Comfort with digital tools (Microsoft 365, EVV platforms, spreadsheets).
• Compassionate, professional, and dependable demeanor.
