Summary

Brick and Timber (the "Company") is seeking an Administrator, Leasing (Front Desk) for its residential multifamily portfolio in the San Francisco Bay Area. The Leasing Front Desk Administrator serves as the face of the leasing office, playing a key role in creating a welcoming, professional, and organized environment for residents, visitors, and team members. This role supports daily office operations, coordinates communication across departments, and provides high-level administrative assistance to ensure smooth and efficient property management functions.

Primary Responsibilities

Office Operations & Administrative Support Greet and assist residents, prospects, vendors, and guests with professionalism and warmth Manage front desk responsibilities, including answering phones, responding to emails, and routing inquiries Maintain an organized, professional reception space and track office supply inventory, placing orders as needed Support vendor check-ins, appointment scheduling, and access coordination as needed Resident & Prospect Support

Provide accurate information about available units, amenities, pricing, and leasing policies Assist with tour scheduling and coordinate appointments for leasing agents as needed Respond to resident and prospect questions, routing them to Leasing, Resident Services, or Maintenance as appropriate Support a positive resident experience by maintaining a welcoming and responsive front desk presence Communication & Coordination

Serve as a communication hub for the leasing office, ensuring messages are delivered promptly and professionally Assist with internal scheduling, team meetings, and event logistics Draft, format, and distribute resident notices and internal updates as needed Process Improvement & Systems Use

Utilize property management and productivity tools (e.g., Yardi, Zendesk, Monday.com) to maintain accurate records and support daily workflows Assist in updating standard operating procedures (SOPs) to improve consistency in administrative processes Provide input on ways to improve the front desk experience for guests and team efficiency Minimum Requirements and Qualifications

High school diploma or equivalent required; associate degree or higher preferred 2+ years of experience in customer service, office administration, or property management support Strong organizational, multitasking, and time management skills Excellent written and verbal communication abilities Comfortable using office technology and software platforms, including property management systems Ability to work both independently and collaboratively in a fast-paced environment Professional appearance, discretion, and positive attitude Key Skills and Competencies

Experience in real estate, property management, or leasing environment Familiarity with project management tools (e.g., Monday.com), CRM systems, and digital communication platforms Bilingual skills a plus (especially Spanish, Mandarin, or other languages common in the SF Bay Area)
