Compensation Range:

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities:

Provides support in administration of: faculty new hires, appointments, reappointments, promotions, and voluntary terminations in large clinical department consisting of full-time, part time and TAR faculty; secondary appointments; locums; visiting and voluntary faculty located at the Medical Center and community-based practices. This support entails: (1) the understanding and implementation of all University, Medical School, Hospital and Departmental policies and procedures regarding faculty affairs; (2) the management of a large volume of diverse and complex materials of a highly personal and confidential nature under time pressures/deadlines; and (3) the ability to foresee the needs of the department for informal ion and analyses concerning faculty affairs. Maintains a close working relationship with the Office of Counsel, Medical Center Dean's Office, International Services Office and Medical Staff Office.

ESSENTIAL FUNCTIONS

Faculty Appointments

(new hires)

Administers the preparation and processing of documentation required for the hiring, onboarding and subsequent appointment of new faculty hires and, serves as the main point of contact and departmental resource for the entire hiring process, which includes preparation of contracts/offer letters, obtaining review and approval from Office of Counsel, Dean's Office, and Medical Center Finance Office(s). Works closely with new faculty and advises them during their orientation in the department and throughout the tenure of their employment, which includes URMC account creation, medical record course registration, and fulfilling Occupational and Environmental Health pre-employment requirements. Acts as a liaison with the Dean's Office, obtaining all necessary documentation and forms to ensure faculty appointment, including drafts of Chair Appointment Letter, HRMS forms, Employment Eligibility Verification form (I-9), obtaining letters of reference, and assistance with obtaining a New York State medical license. Assist department administrator with applicants who hold a Visa and need assistance from International Services Office.

Faculty Professional Development

Is an active and vital member of the Faculty and Professional Development Committee and attends monthly meetings. Coordinates and processes faculty promotions and reappointments.

Independently reviews and evaluates documentation required for academic appointments, reappointments and promotions. Acquires documentation in a timely fashion and plans the content for the Faculty and Professional Development Committee and acts upon recommendations of committee. Ensures accuracy, completeness, and follow through. Solicits letters of recommendation and drafts Chair Letters. Gathers and coordinates faculty publications and updated CVs. Facilitates and assists Director of Faculty and Professional Development with faculty workshops, networking, and new faculty welcoming events. Maintains Faculty and Professional Development SharePoint site for department by updating and maintaining all supporting documentation required for reappointments and promotions. Assists with coordination of faculty development activities, Departmental and URMC-wide.

Credentialing and Privileges

Supports the department credentialing process for new faculty and monitors re-credentialing needs for existing faculty and locums.

Other Duties

Central contact in department for miscellaneous questions and inquiries, both internally and externally, related to faculty affairs.

MINIMUM EDUCATION & EXPERIENCE

Bachelor's degree and 1 year of experience in administrative capacity required
