Summary:
The Quoting Specialist is responsible for developing, managing, and delivering accurate, competitive, and profitable customer
quotations. This role requires strong collaboration with Sales and Purchasing teams to ensure pricing aligns with market conditions, business objectives, and customer needs. The Quoting Specialist supports sales efforts by analyzing market data, creating special pricing agreements, and providing exceptional service through timely responses and follow-up on quotes.
Responsibilities:
· Process customer quotations and perform product cross-referencing to ensure accuracy and alignment with requirements.
· Manage pricing activities including updates, modifiers, special pricing agreements (SPAs), and requests for customer pricing
changes.
· Work closely with Purchasing to gather costs, verify product availability, confirm delivery timelines, and obtain freight or supplier
quotes.
· Log into business intelligence (BI) systems to review distributor pricing, compare against target costs, and prepare
recommendations.
· Conduct market analysis to ensure competitive pricing by evaluating costs, competitors, and distributor support by territory.
· Collaborate with Sales Representatives to develop pricing strategies and support customer requests.
· Coordinate daily workflow to support timely preparation, approval, and submission of quotes.
· Proactively communicate with customers, sales reps, and internal departments regarding discrepancies, delays, or critical pricing
updates.
· Maintain organized documentation of quotes, estimates, SPAs, and historical pricing files for backup and reference.
· Create and manage spreadsheets for large project quotes, multi-item contracts, and bulk pricing requests.
· Offer alternative product options when requested items are unavailable or require substitutions.
· Run BI reports to support pricing decisions and provide data-driven recommendations.
· Follow up with customers and sales representatives on outstanding quotes, revisions, and feedback to ensure closure.
· Perform additional duties as assigned to support evolving business needs.
Requirements:
Skills:
· Strong organizational and time-management skills; ability to prioritize and multitask under pressure.
· Excellent written and verbal communication skills.
· Strong analytical and critical thinking skills with attention to detail.
· Proficiency in Microsoft Excel and other business intelligence tools for data analysis and reporting.
· Ability to work independently as a self-starter, as well as collaboratively within a team.
· Strong problem-solving skills with the ability to develop creative solutions.
· Demonstrated integrity, honesty, and professionalism in handling confidential information.
· Experience in pricing, quotations, or sales support roles preferred.
Qualifications:
Years of experience:
2-year relevant experience with quoting as individual contributor
Education:
College degree preferred
Equipment and Software Requirements:
Ability to utilize a computer, printer, fax, and multi-way phone. Must be proficient in Microsoft Word. Must be experienced with Oracle Applications, Microsoft Excel (filters, formulas, and pivot tables)
Physical Requirements:
While performing the duties of this job, the employee will frequently sit, stand, walk, and reach.
Language Requirements:
This position requires the employee to understand, read and speak English, Spanish speaking is a plus.
