Sheppard Pratt
Leads a technology enabled benefits team, ensuring day to day administration of the organization’s comprehensive benefits programs. Ensure legal and regulatory compliance. Significant responsibility for the maintenance of HR databases and skill in compiling statistics and reports. Revises and maintains, interprets, communicates, and administers assigned HR policies and practices for supervisors and employees. Uses Business Intelligence, data, and current knowledge of benefits trends to advise on benefits offerings and strategy. Maintains productive collaborative relationships with vendor partners.
Responsibilities:
1. Customer Relations
· Actively seeks to provide quality services that meet the needs of patients and clients as well as other identified customers - employees, applicants, co-workers, supervisors, vendors, other employers, and regulatory agencies.
· Maintains constructive relationships with co-workers, managers, and other internal and external contacts. Represents HR on various Sheppard Pratt committees as assigned.
2. Benefit Plan Administration
· With the Director, leads the benefit planning process including renewals, system updates, program design and vendor management.
· Administers the Benefits Open Enrollment process and communications.
· Serves as a primary resource for benefit questions.
· Communicates, interprets, and clarifies benefit plan information for open enrollment, ongoing enrollment, and day to day administration.
· Responds to employee benefit questions; refers to insurance representatives/vendors and/or on-line resources as appropriate.
· Serves as point of contact to resolve benefit plan operational problems and concerns about claims.
· Collects information related to appeals and brings them to the attention of the Vice President, Human Resources (VP).
· Manages the systems and technology which support the organization’s benefit plans.
· Collaborates with HRIS and Payroll teams to ensure system functionality meets the needs of the organization.
· Resolves data integrity issues through oversight and regular auditing of benefit program data while monitoring benefit contributions, metrics and reports.
· Works with the HRIS team and carriers to resolve any carrier file issues that arise
3. Retirement Plan Administration
· Oversees the administration of the organization's retirement plans.
· Works with external auditors on required filings
4. Compliance
· Ensures compliance of benefits practices with various laws and regulatory requirements, including ERISA, DOL, IRS, HIPAA, FMLA, and others.
· Ensures meeting government reporting requirements for benefit programs – to include 5500 reports, SARs, SPDs and plan documents.
· Annually prepares and distributes legally required notices, including SARs, Mastectomy notice, medicare part D creditable coverage notice, and SP privacy statement.
· Ensures tasks required for compliance with CMS/Medicare to include data collection for the 990 and annual CMS certification.
· Coordinates the Benefits section’s assistance in the annual benefits audit process.
5. Communications
· Develops and executes a communication strategy for the organization’s employee benefit plans and programs to ensure promotion and understanding of benefit and wellbeing offerings to employees
· Manages the company intranet and benefits portal design as well as carrier websites to ensure accuracy and consistency of all messaging, collateral materials, policies, programs and plan summaries.
6. Policies and Procedures
· Oversees the administration of the tuition reimbursement policy.
· Maintains, interprets, communicates, and administers identified Human Resources policies and practices for supervisors and employees.
· Checks forms and requests to assure adherence to policies and practices.
· Recommends revisions to assigned H.R. policies and procedures to improve efficiency and effectiveness.
Requirements:
1. Work requires knowledge of benefits, including benefits administration; pertinent federal and state laws; ERISA regulations, COBRA compliance; and knowledge of insurance principles and practices; strong verbal and written communication skills; and experience with database administration and reporting – acquired through a bachelor’s degree in human resource management, business administration, or related field plus two to three years of benefits administration experience.
2. Work requires interpersonal skills sufficient to effectively communicate benefits information to people of varying educational levels and analytical ability; assist employees with problems and complaints, conduct presentations to both small and large groups, and direct/supervise the work of assigned support staff.
3. Work requires analytical ability sufficient to anticipate or resolve problems and complications in program administration and extract and analyze data from written material.
4. Work requires the ability to balance priorities, meet tight deadlines, work at a computer, and follow up on details required to effectively administer programs
