Mission Support and Test Services, LLC (MSTS) manages and operates the Nevada National Security Site (NNSS) for the U.S. National Nuclear Security Administration (NNSA). Responsiblities
The Office of Protocol and Visits is Nevada National Security Sites (NNSS) primary point of contact for planning and hosting visits, meetings, tours, and events for guests spanning various levels of state and federal government, alongside industrial, academic, and military entities. This office also coordinates monthly public community tours of historical sites at the NNSS to allow the public an opportunity to learn how the Site has evolved over the years.
This position will directly support Protocol Officers in conducting tours, visits, meetings, and events as the Visit and Tour Coordinators. This position will be responsible for welcoming and interacting with visitors to NNSS and outlying areas during scheduled visits.
Key Responsibilities
Plan, execute, manage, and oversee all aspects of events and visits requiring frequent interaction with high-level management, senior directorate leaders, and VIP visitors including officials and representatives from various government agencies, academia, and the private sector. This involves a wide variety of operational logistics, scheduling and organizational requirements and activities, requiring independent analysis and self-direction in support of public, programming, and Protocol visits and tours.
Plan and facilitate logistics for meetings and events, including contract negotiations, guest lists, venue preparation, presentation materials, security, catering, transportation, equipment, decor, and marketing materials.
Serve as a point of contact for visits, workshops, conferences, meetings, tours, and special events.
Create visit specific registration links for participants to complete prior to visit date.
Act as an adviser for establishing goals and priorities for each visit. Develop and recommend agendas for visits, events, and meetings, coordinate discussion topics with appropriate senior leaders and programmatic offices.
Research and establish goals for the visit with the technical host and set priorities for the visit.
Identify and coordinate discussion topics and briefings with appropriate senior management and programmatic offices to develop visitor agendas and schedules.
Independently resolve unexpected and unique complications, deviations, or delays by making revisions, substitutions, and changes on a moment's notice in highly visible environments.
Organize transportation (Motor Coaches, Van, and Fleet vehicles) as needed for assigned tours and visits.
Assist with itineraries and schedules for each visit, as assigned, coordinating discussion topics with appropriate internal and external points of contact and programmatic offices while deconflicting other events, visits, and operations.
Support tours, meetings, and visits to the NNSS, North Las Vegas Facility, and surrounding areas, including but not limited to set up, tear down, purchasing items, ordering, and delivering catering meals, and anticipating the needs of visitors.
Distribute/collect paperwork for cleared/uncleared US citizens and foreign nationals for visits, as assigned.
Perform other duties as assigned by Management.
Qualifications
Bachelor's degree in related field and at least 2 years' of professional level experience, which provided a sound working knowledge of administrative policies and procedures, or equivalent training and experience.
Hospitality, Communications, or Public Speaking experience preferred.
Must possess excellent interpersonal and communication skills and ability to communicate with people inside and outside the organization, representing the organization to customers, the public, government and other external sources in a tactful, professional, and effective manner while screening and maintaining confidentiality.
Proven success in event planning or coordination.
Must be highly organized and able to develop specific goals and plans to prioritize, organize, accomplish work, and meet required deadlines.
Ability to develop constructive and cooperative working relationships with others and maintain them over time.
Able to utilize independent judgment, creativity, and initiative to resolve problems and ensure that requirements are completed efficiently and on time.
Able to remember extensive policies, procedures, terminology, schedules, personnel, and other details.
Able to use software applications needed in the position, including Microsoft Suite and general office equipment.
Able to deal with pressure of handling multiple tasks, complaints, frequent interruptions, and time constraints.
The primary work location will be at the North Las Vegas Facility.
The work schedule will be 4/10s Monday through Thursday (subject to change).
Pre-placement physical examination, which includes a drug screen, is required. MSTS maintains a substance abuse policy that includes random drug testing.
Candidate must possess a valid driver's license.
MSTS is required by DOE directive to conduct a pre-employment drug test and background review that includes checks of personal references, credit, law enforcement records, and employment/education verifications. $63,856.00 - $95,784.00.
