This position will primarily be responsible for front desk operations on Thursdays and Fridays, with additional administrative duties throughout the week. As a backup receptionist, this role will provide support on other weekdays as needed. The HR Administrative Assistant will report directly to the HR Business Partner - Commercial and play a key role in ensuring smooth daily operations across HR and office functions.

POSITION SUMMARY

The HR Administrative Assistant will play a pivotal role in ensuring the seamless operation of front desk functions, providing comprehensive administrative support, and coordinating employee engagement initiatives. This role plays a key part in supporting organizational efficiency, fostering a culture of wellbeing and supporting both administrative and event planning efforts.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Front Desk Responsibilities (Two Days/Week & Other Days as Needed)

Answer incoming calls, ensuring they are promptly directed to the appropriate personnel or processed accordingly. Greet and assist onsite visitors, effectively communicating the nature of their visit and ensuring they are properly logged and issued appropriate badges. Oversee office security protocols, ensuring compliance with visitor log procedures and badge issuance. Coordinate the sorting and distribution of mail and packages, ensuring timely delivery and appropriate handling of sensitive materials. Maintain office amenities, including ordering and restocking coffee and refreshments for meeting spaces. HR Support

Coordinate and manage internal and external meeting logistics, ensuring smooth execution of all associated travel and scheduling. Create and distribute engaging wellbeing content, acting as the administrator for wellbeing platforms and programs. Drive associate participation and engagement through effective communication and program promotion. Oversee the administration of wellbeing benefits, including gym memberships, massage scheduling, and VTO (Volunteer Time Off), ensuring that these benefits are easily accessible and clearly communicated to all associates. Lead the planning and execution of key company events, such as the annual Christmas party, summer events, and milestone celebrations, ensuring impeccable logistical coordination and vendor management. Oversee meal ordering for team meetings and special events. Organize lunch-and-learn sessions, including coordinating materials, catering, and logistical support. Support internal communications through the execution of email marketing campaigns, ensuring that messaging is aligned with company culture, wellness initiatives, and key organizational events. Foster strong community connections by identifying opportunities for partnerships, volunteer programs, and local outreach. Organize and execute employee recognition initiatives, including milestone celebrations (birthdays, work anniversaries) to enhance engagement and strengthen workplace morale. Provide other administrative support as needed. Qualifications:

2+ years of experience in an administrative, HR, or event planning role Must be proficient in Microsoft Office applications including Word, Excel, PowerPoint, etc. Strong computer, communication, interpersonal and organizational skills are required and sensitivity to confidential matters Capable of maintaining a flexible work schedule which may consist of covering other days as needed Other duties as assigned.
