QUALIFICATIONS

Graduation from high school supplemented by course work in finance or business practices or any equivalent combination of education and experience which provides the required knowledge, skills, and abilities. Must have effective written and verbal communication skills. Must be physically able to operate a variety of automated office machines including computers, typewriters, calculators, copiers, facsimile machines, etc. Requires the ability to read and prepare a variety of documents, records, applications, and logs in order to perform a variety of office functions. Must be adaptable to performing under stress and when confronted with emergency situations.

DESCRIPTION

The person in this position is responsible for maintaining budget and other financial records for the Head Start program in Hopewell. This person will maintain all accounting records, including receipts and disbursements. Provides clerical and administrative support to administrative staff. Provides support to staff in purchasing supplies and travel reimbursement forms. Prepares routine correspondence; compiles information for reports; maintains files of a variety of records, reports, documents.

GENERAL DUTIES (May not include all duties performed) Maintain contact and cooperate with local staff and Head Start Personnel. Maintain contact with federal Head Start personnel and the local community. Prepare and submit financial reports; includes receiving assignments and/or directions from supervisors. Maintain accurate financial records of the Head Start program. Maintain up-to-date files on contracts, leases, insurance, policies, bonds, agreements, program activities, and related documents. Prepare and submit all budget reports to the Hopewell Schools finance office. Prepare all purchase orders, disbursements, maintenance records and related Head Start employee records. Provide a monthly budget report to the Policy Council for review. Assist with updating the Community Needs Assessment and PIR reports. Answer telephone and greet visitors, receive inquiries and provide information based on detailed knowledge of Head Start program and related policies and procedures. Inventory all supplies and other items of use at the end of each school year. Perform all other duties assigned by the Executive Director/Program Administrator.

SUPERVISION

Work is performed under the supervision of the principal or assistant principal.

WORK CONDITIONS

Duties performed are typically in an office setting. Performs professional work providing support and consultative services for assigned department/program. Work requires frequent standing, sitting, walking, and light lifting. Some assignments are subject to deadlines inherent in tailoring and delivering programs to meet the needs of diverse groups. There is some bending and stooping when filing. Yearly physical is required, and Tuberculosis test every two years.
