Base pay range: $18.00/hr - $22.00/hr

FOCUS
The Customer Experience Coordinator guides pet parents through their entire experience, aims to over-deliver at every touchpoint, and ensures visits feel welcoming, engaging, and safe. This role supports a disruptive veterinary care environment and helps set the standard in how veterinary medicine is delivered.

What you'll do
Your Mission:
Define the customer's experience through Service, Focus, and Participation.
Service:
Answer incoming calls promptly and warmly
Manage incoming communications (email, text, phone)
Record call information accurately, including referring veterinarian details
Ensure calls related to medical matters are transferred to a doctor quickly
Greet and sign-in customers at entry with warmth and urgency
Monitor wait times and identify bottlenecks to improve workflow
Offer beverages or snacks and create a unique, curated experience
Listen to customers, understand needs, and take ownership of complaints
Ahead-of-time anticipation of hiccups to protect service quality
Invite customers to provide feedback via surveys
Process payments and maintain accurate customer records
Accompany customers to exit and thank them for choosing VEG
Focus:
Engage with customers during wait times
Optimize satisfaction, wait times, and ER utilization by circulating the hospital and coordinating with the team
Provide feedback to nurses and doctors about customer needs
Protect confidentiality of personal and financial information and assist with financial options
Educate customers on end-of-life details (cremation options)
Follow up with customers 24 hours after a visit
Invite customers to stay with their pet and initiate video chats when needed
Participation:
Identify opportunities for customer participation in a safe, valuable way
Celebrate and capture special moments with permission
Create a personalized experience for the customer and their pet
What you'll need
2+ years of experience in a customer service role
Advanced proficiency in computer programs and practice management software
Highly organized with strong attention to detail
Ability to communicate with diverse audiences
Strong multitasking skills
High emotional intelligence and ability to read a room
Adaptable in high-stakes environments
Professional and approachable demeanor
