This position is located in the Office of Educational Affairs, UF College of Medicine - Jacksonville. The role acts as the point of contact by telephone, email and in person, and interacts with faculty, staff and students daily. It provides administrative support to the Assistant Dean for Student Affairs and Assistant Dean for Medical Education and is responsible for all events, internal and external, sponsored by the Office of Educational Affairs. Essential Functions Plan, direct, and participate in recruitment/enrollment activities and outreach, and provide primary administrative support for UFCOM-J regional medical campus admissions processes, including but not limited to: Serving as a point of contact for applicants before and after interviews Setting up virtual interviews for applicants and maintaining interview schedules Coordinating the visit days for applicants Serving as liaison with the admissions department staff at the COM to ensure coordinated processes

Design, develop, and oversee programs and projects for student activities, including managing all events of the UFCOM-J regional medical campus for prospective and current students. Manage space allocation for student organizations and student activities. Recommend new and/or improved student affairs programs. Function as primary contact for UFCOM and visiting students when they seek services/assistance, and assist with initial troubleshooting when problems arise. Provide customer service as first contact for all visitors and guests. Provide administrative support to the Office of Educational Affairs, including: answering main line calls, distributing faxes, screening and routing mail Coordinating room scheduling and reservations, videoconference setup, and catering needs for meetings (e.g., clerkship directors meetings, COM committee meetings, residents/fellows as teachers) Assisting with calendar/meeting management using MS Outlook Providing electronic document assembly, formatting, proofreading, and development of customized forms using MS Word, Excel, PowerPoint and/or Adobe Acrobat as required

Provide administrative support for the Assistant Dean for Student Affairs and Assistant Dean for Medical Education. Perform other duties as requested by supervisor and by the Senior Associate Dean for Educational Affairs. Qualifications Master's degree in an appropriate area of specialization; or a bachelor's degree in an appropriate area of specialization and two years of appropriate experience; or an equivalent combination of education and experience Preferred: proficient in event planning and management; experience coordinating student programs for higher education; working knowledge of computers and current software; ability to coordinate multiple projects independently and as a team; strong verbal and written communication with faculty, staff and students; ability to interpret general office priorities and work assignments; ability to maintain confidentiality
