Overview
We are seeking a detail-oriented and proactive DOT, Safety & Compliance Specialist to join our team. This role is responsible for ensuring full compliance with DOT Regulations. You will play a key role in driver qualification records, managing insurance claims, drug test, clearinghouse, vehicle titling and registration, and promoting a culture of safety across the organization. Monitoring all with apps like Geotab, conducting audits, and supporting our drivers with the tools and coaching needed to operate safely and legally. Responsibilities
DOT Compliance
Maintain and audit Driver Qualification (DQ) Files and Motor Vehicle Records (MVRs). Ensure up-to-date CDL, medical certificates, and other required driver documentation. Prepare for and assist in DOT audits, inspections, and related reporting. Stay current with DOT/FMCSA regulations and implement necessary changes to internal policies.
Safety Monitoring & Coaching
Use Geotab to monitor driver behavior (e.g., harsh braking, speeding, distracted driving). Distribute safety scorecards and lead safety meetings or 1-on-1 coaching sessions. Investigate safety events, accidents, and near-misses using vehicle telematics data. Analyze trends in safety data to reduce risk and improve driver performance.
Insurance & Claims Management
Manage all vehicle-related insurance claims from incident report through resolution. Serve as liaison between drivers, insurance providers, repair shops, and legal representatives. Document and maintain a centralized log of all claims and supporting materials.
Vehicle & Equipment Compliance
Ensure completion and review of Daily Vehicle Inspection Reports (DVIRs). Oversee vehicle maintenance compliance with DOT and internal schedules. Verify proper documentation, decals, and permits for all commercial vehicles.
Titling & Registration
Handle vehicle titling, registration, and renewals as needed. Ensure all vehicles have accurate and up-to-date documentation. Maintain internal records of all vehicle title and registration documentation.
Reporting & Documentation
Generate and submit safety and compliance reports (e.g., CSA scores, incident logs). Track driver safety and compliance metrics and recommend improvements.
Qualifications
High school diploma or GED required; 3 years of experience in DOT compliance, fleet safety, or transportation industry. Strong understanding of FMCSA and DOT regulations. Experience with fleet titling and registration processes. Experience using fleet management and safety platforms (e.g., Geotab, Xcelerator or similar TMS). Excellent attention to detail and organizational skills. Strong communication skills with the ability to coach drivers constructively. Ability to manage multiple tasks in a fast-paced environment. Proficiency in Microsoft Office (Excel, Word, Outlook); experience with digital compliance tools a plus. Valid drivers license and clean driving record.
