Operations Coordinator - Service/Repair

Little Rock, AR . This role is responsible for performing administrative duties associated with the service operations department to ensure efficiency and cost-effectiveness. ESSENTIAL JOB FUNCTIONS: Perform Install Base maintenance as needed and create safety inspection tickets. Update on-call lists, notify Dispatch daily, check technicians in/out, and communicate with Dispatch and supervisors. Provide status updates to National Accounts and customers on work orders and callbacks; update evening tickets with work order numbers. Act as liaison between branch operations and regional dispatch; maintain shared calendars and review open ticket reports. Track operations systems and conduct tool audits. Assist mechanics with IT downloads, ordering brochures and tools, and manage phones and replacements. Support safety meetings and maintain documentation (if applicable). Complete manual payroll forms, process DVR, and manage cost corrections. Create parts requisitions, receive parts, and review invoice reports. Research and review reports for the Service Manager, including account history, pre-invoicing, and work in process. Handle financial documentation such as down payment checks and service invoices. Monitor safety inspections and ensure proper ticket processing. Assign tickets to mechanics as needed. Gather data for legal reports, compile incident documentation, and support compliance efforts. Manage badging, uniforms, and prepare reports for high-profile customers. Review weekly reports and coordinate with billing and procurement departments. Manage mail, invoices, and vehicle leasing documentation.
