Overview

The Department of Pediatrics is seeking a Medical Education Manager to join our team in a full-time position to work within the Office of Medical Education, Development & Inclusion. The department partners with local offices and accrediting bodies to ensure outstanding educational experiences and accurate tracking and reporting of program outcomes. This role provides administrative management for the Pediatric Residency Program and serves as lead administrator for both OMEDI and the Office of Health Equity, Alliance and Leadership (HEAL). Responsibilities

Serve as a resource to program leadership, faculty and residents for all residency program initiatives, questions and issues. Mentor and supervise the administrative responsibilities of junior staff members. Oversee residency program processes and tasks, including updating online databases related to the program current and alumni trainees (ACGME/ADS, AAP, ERAS, MedHub, Oasis). Oversee administrative aspects of resident vacation and medical leaves. Initiate and ensure maintenance and continuation of credentialing and licensure. Oversee the administration of pediatric resident In-Training exams and related forms. Coordinate educational activities, monitor conference attendance, arrange logistics and travel for outside speakers, track work hour and duty hour compliance, and manage outside hospital rotations. Coordinate annual residency recruiting activities (preparation, logistics, communications with applicants, document preparation, interview schedules and selection committee support). Coordinate event planning (audio/visual, catering) for meetings, conferences, and graduation; support Clinical Competency Committee and Program Evaluation Committee meetings. Provide support to the Program Director and education leadership team; prepare summary statements and oversee the budget; manage incoming resident appointments and reappointment processes; coordinate with HR for PAC approvals and renewal rosters; engage with CUIMC and regional/national meetings; utilize advanced computer skills to streamline residency program processes; provide support to departmental Fellowship Programs. HEAL Office

Provide administrative support to the Vice Chair of HEAL and PDIC officers; oversee HEAL Office budgets, invoicing, and expenses. Coordinate logistics for PDIC activities; facilitate annual orientation for the PDIC for residents, fellows, faculty, and staff. Develop and distribute notifications for HEAL and PDIC meetings and events; organize HEAL/PDIC-sponsored conferences and cross-departmental events. Lead coordination for the Visiting HEAL elective, including application, scheduling, and logistics. Document meeting minutes, track action items, and maintain accurate records of meetings and events related to HEAL and PDIC. Assist in data compilation and reporting for HEAL/PDIC initiatives; track metrics related to health equity and inclusion. Assist in creating and distributing HEAL/PDIC outreach materials in collaboration with Communications and Marketing. Pediatric Medical Student Education

Coordinate the Pediatric Clinical Clerkship for 150 students per year, including site assignments, faculty mentoring, evaluation processes, and scheduling of lectures. Manage the Pediatric Clinical Website contents, curriculum goals, orientation materials, weekly scheduling bulletins, and Course Works site for clerkship documentation and final roster. Coordinate 4th year electives for medical students; prepare information and evaluations for grading. Administer the National Board of Medical Examiners Pediatric examination for third-year students; coordinate special events for the Medical Student class to promote pediatrics as a career path. Advise students on scheduling during rotations; supervise student evaluations and provide guidance on letters of recommendation; manage clerkship documentation and regulatory submissions; liaise with the Deans office as needed. Manage online systems for Medical Student Education, uploading and maintaining curriculum content, running reports, and coordinating faculty schedules across sites (MSCHONY and Harlem). Support advising for pediatric residency applications and perform related duties as assigned. Minimum Qualifications

Bachelors degree or equivalent in education and experience required; plus four years of related experience. Preferred Qualifications
