Administrative And Program Support Specialist (Nisqually Tribal Member Only)
This position provides a high level of administrative and programmatic support to the Work Force Development (WFD) program processing a wide variety of assignments to assist staff in providing positive customer and client centered services and outcomes. This position is the first point of contact for WFD clients and visitors. This position requires multi-tasking and timely completion of tasks in coordination and collaboration with the Division Director, administrative, and program staff and vendors. It requires an energetic and customer service-oriented individual wanting to provide the best service when working with people at all levels. This role requires maintaining confidentiality, ensuring the accuracy and security of records, and fostering positive relationships with employees, customers, and community members. Strong written and verbal communication skills, along with exceptional customer service, are essential. Regular attendance is required, and occasional evening or weekend hours may be necessary to meet project deadlines. A professional, well-groomed appearance is expected at all times. The following duties are representative of the responsibilities assigned to this position. Additional duties may be assigned as necessary. Provide administrative support for the Site Manager, Division Director, and program staff, as directed by the Site Manager. Receives clients and guests in a polite, friendly, and helpful manner that responds to inquiries regarding WFD Services. Answer telephones and route callers or messages in a responsive, timely and accurate manner. Prepare, process, monitor, and track to conclusion, documents such as administrative requisitions, purchase orders, vouchers, reports or similar. Follow established policies and procedures to ensure compliance and allowability of expenditures. Assist with the development and execution of vendor contracts, providing coordination between Fiscal, Legal, and Administrative Leadership. Assist with programmatic activities and reporting, update databases and shared files. Coordinate logistics for internal and off-site meetings and training. Identify locations, coordinate activities and supplies, and participate in WFD and Tribal events. Demonstrate commitment to teamwork through relationship building and collaboration. Support employees and clients by being a hub of information. Identify and research problems or issues and expedite solutions to ensure smooth, continuous workflow. Deliver productivity through the efficient use of time, resources, and a commitment to strong results. Coordinate operation, maintenance, repair, replacement, and supplies for centralized office equipment. Develop and maintain adequate inventory of office and hospitality supplies. Coordinate efficient internal and external mail and package distribution and maintain shipping/receiving records. Occasional travel to SPIPA IPC or other Tribal locations. Assist with special projects. Perform additional duties as assigned to support program operations. Education and Experience
Bachelor's degree in business administration, public administration, social work, or a related field, with 1 year of professional work experience OR Associate's degree in business administration, public administration, social work or related field, with 3 years or professional work experience. Must possess a valid Washington State Driver's license and maintain a driving record that meets the minimum requirements established by Nisqually Indian Tribes vehicle insurance provider. Successfully pass a pre-employment drug screen and background check Preferred Qualifications
Knowledge of the Nisqually Indian Tribe's history, customs, traditions, and ability to demonstrate cultural sensitivity. Experience working with Federally Recognized Tribes. Experience working with low-income families. Competencies
