is seeking an Operations Coordinator with a Secret clearance with the ability to obtain a TS/SCI clearance to support KPS and our government customer in Arlington, VA.

Koniag Professional Services (KPS) is seeking a proactive and highly organized Operations Coordinator to provide essential operational support to the Strategy & Policy Directorate within the Chief Digital and AI Office (CDAO). You will serve as the central logistical hub for the directorate, ensuring smooth day-to-day operations and a seamless onboarding experience for all new personnel. The ideal candidate is a master of Department of War (DoW) processes, an excellent communicator, and is dedicated to fostering a welcoming and efficient work environment for the entire team.
Essential Functions, Responsibilities & Duties may include, but are not limited to:
New Personnel Onboarding:
Assist with managing the end-to-end onboarding process, serving as the primary point of contact for new hires from their first day forward.
Track, as needed, all required paperwork for new staff, especially for Common Access Cards (CACs) and government-furnished laptops.
Proactively communicate with new personnel regarding the status of their CAC and laptop requests, troubleshooting any delays.
Ensure all new team members are scheduled for and attend CDAO onboarding orientations.
Facilitate introductions between new and existing staff to ensure a smooth integration into the team.
Ensure new team members have access to collaborative environments.
Logistical & Operational Support:
Serve as a key resource for all staff, providing helpful information and guidance on directorate policies and procedures.
Manage all visitor and escort requests for the directorate, including coordinating with security and arranging for parking.
As needed, assist in preparing, formatting, and routing official correspondence and tasks using the Correspondence and Task Management System (CATMS), ensuring all documents adhere to DoW writing standards.
Executive Support:
Provide direct support to directorate leadership as needed, including managing calendars and scheduling meetings.
Assist with processing domestic travel arrangements and vouchers using the Defense Travel System (DTS).
Coordinate all aspects of foreign travel for directorate personnel as required; this includes submitting country clearance requests, assisting with official passport and visa applications, and ensuring completion of all mandatory pre-travel training and documentation in accordance with the Foreign Clearance Guide (FCG).
Required Qualifications:
Must be a U.S. Citizen with an active Secret security clearance and the ability to obtain a Top Secret/SCI clearance.
Proven experience in an administrative support, office coordination, or staff assistant role, preferably within the DoW or a federal government agency.
Direct experience with DoW administrative systems, specifically CATMS and the Defense Travel System (DTS).
Strong familiarity with DoW correspondence manuals and official writing formats.
Exceptional organizational skills with a high degree of attention to detail and the ability to manage multiple competing priorities.
Excellent interpersonal and communication skills, with a customer-service-oriented mindset.
Proficiency in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Preferred Qualifications:
An active Top Secret/SCI security clearance.
Direct experience providing administrative support within the Office of the Secretary of War (OSD).
Experience specifically with processing DoW foreign travel and country clearance requests.
Experience supporting Senior Executive Service (SES) or Flag Officer calendars and travel.
