Position Overview

The Manager of Fleetis responsible for the day-to-day management of The Blood Connection's vehicle fleet, including bloodmobiles, box trucks, courier vehicles, and departmental vehicles. This position ensures the safety, compliance, efficiency, and reliability of the organization's fleet through proactive maintenance scheduling, vendor coordination, regulatory adherence, and operational support. The Fleet Manager works closely with Facilities and Operations to support mobile blood drives and logistics planning while managing accident reporting, insurance claims, and vehicle tracking systems such as Fleetioand Geotab.

Essential Functions

Fleet Operations and Maintenance

Oversees daily operations of a diverse fleet including bloodmobiles, box trucks, and courier vehicles. Schedules and coordinates preventive maintenance, inspections, and repairs. Manages vendor relationships and preventive maintenance service contracts. Ensures timely vehicle repairs to maintain operational readiness. Maintains accurate vehicle service records and compliance documentation in Fleetio. Utilizes Geotab for monitoring fleet performance, safety, and optimization. Conducts and documents regular vehicle inspections to ensure roadworthiness, cleanliness, and operations readiness. Submits facility tickets for vehicle-related maintenance or service issues. Fleet Management, Compliance, and Claims

Ensures compliance with all applicable safety, emissions, and DOT regulations. Maintains fleet inventory and tracks vehicle asset assignments across locations. Investigates, reports, and documents vehicle accidents and incidents. Coordinates with insurance providers on claims, tracks progress, and manages documentation. Maintains logs of repair estimates, damage assessments, and claim outcomes. Cross-Functional Support

Supports operational planning and vehicle readiness for mobile blood drives and logistics needs. Collaborates with Facilities, Operations, and IT teams on special fleet-related projects. Participates in emergency preparedness and Continuity of Operations (COPE) planning. Vendor Coordination and Reporting

Schedules and coordinates repairs and maintenance with third-party vendors. Manages vendor relationships and fleet maintenance contracts. Submits and manages warranty claims, parts orders, and service documentation. Tracks and reports key fleet performance metrics using Fleetio and Geotab. Supervises the Fleet Coordinator and guides efforts to improve efficiency and service levels. Other Duties

Attends training sessions, safety meetings, and professional development activities. Stays current with DOT regulations and best practices in fleet management. Performs other related duties as assigned. Minimum Qualifications

Bachelor's degree in Logistics, Business Administration, Automotive Technology, or a related field. Minimum of 5 years' experience in fleet operations, vehicle maintenance coordination, or transportation/logistics support. Must hold or be able to obtain a Class B CDL with air brakes within one year of hire. Valid driver's license with a clean driving record. Experience managing a variety of vehicles, including commercial trucks and specialty mobile units. Proficiency with Fleetio, Geotab, or equivalent fleet management and telematics software strongly preferred. Skilled in Microsoft Office Suite; comfortable with cloud-based platforms. Strong organizational, analytical, and time management capabilities. Prior experience handling vehicle insurance claims preferred. Excellent verbal and written communication skills. Physical Demands
