Job Description
Assist the Director of Sales, Sales Managers, and Catering Manager in achieving customer satisfaction by performing clerical and administrative duties related to guest and hotel communications through the sales team. This includes light selling duties to small groups and functions, as directed by the Director of Sales. Qualifications
High School diploma or equivalent required; college coursework in a related field preferred. Hotel or related industry experience is also preferred. Ability to type 55 wpm. Proficiency with Microsoft Operating Systems, OnQ, and Sales Pro Enterprise. Effective communication skills to convey information clearly. Ability to evaluate and select among alternative courses of action quickly and accurately. Capable of working well under stress and in high-pressure situations. Maintains composure and objectivity under pressure. Effective problem-solving skills, including anticipating, preventing, identifying, and resolving issues. Ability to assimilate complex information from various sources and modify approaches accordingly. Active listening skills to understand and resolve concerns of coworkers and guests. Basic understanding of financial data and arithmetic functions. Job Responsibilities
Provide attentive, friendly, courteous, and service-oriented interactions with guests and staff. Maintain regular attendance as per Aimbridge Hospitality standards, including possible weekends and holidays based on business needs. Adhere to dress code and maintain professional appearance, including wearing a name tag. Comply with all hotel standards and regulations for safe and efficient operations. Organize and maintain sales files and accounts as per standards. Support the sales team with administrative tasks such as typing contracts, reports, correspondence, and managing lead logs and statistics. Assist with creative projects and ensure smooth communication within the department and with other departments. Handle sales contracts, quotes, and small group inquiries, working closely with sales leadership. Distribute and manage BEOs, rooming lists, contracts, and revisions related to meetings and groups. Support guests and clients with requests and small changes, completing necessary paperwork. Conduct site inspections as needed. Update sales data daily and maintain proper documentation and thank you letters. Order and monitor office supplies and sales collateral. Coordinate logistics for functions, including guarantee calls and AV orders. Participate in sales meetings, record minutes, and distribute them accordingly. Perform other duties related to sales and marketing efforts as assigned. Access and Security
Access to back-of-house areas and sensitive information, including secure areas and confidential data, must be managed responsibly. Demonstrated ability to handle cash, prepare deposits, and secure funds is required. Interact with guests and colleagues, sometimes unsupervised, maintaining a high level of trust and responsibility.
