Overview

Executive Assistant to support the Administrative Support Team and senior leadership. Provides direct support with strong judgement, efficiency, and proactive problem-solving. Acts independently with limited supervision to maintain smooth functioning of the department. Primary Job Responsibilities

Manage the day-to-day administrative affairs of the executive’s office, scheduling all appointments and commitments within complex calendars, preparing background information and supporting documents for meetings, conferences, interviews, etc. Organize and facilitate details of in-person meetings, including meeting rooms, meals, and teambuilding activities. Track deadlines and ensure deliverables are met amidst changing near-term priorities. Make and review travel arrangements, prepare itineraries, confirm lodging/transportation, and process travel reconciliations. Track expenses and prepare expense reports; submit invoices as necessary and ensure successful payment and filing. Compose and produce correspondence, reports, presentations, and forms; edit and proofread documents for accuracy. Coordinate weekly meetings, including preparing agendas and minutes. Maintain SharePoint organization for supported teams and stay informed on company policies, clients, and operations. Handle sensitive information with confidentiality and maintain related files and records. Greet visitors and provide a seamless office experience; facilitate information flow between internal and external contacts on the organization’s plans and priorities. Other projects as assigned by the manager. Qualifications

Associate degree preferred 5+ years of related experience including executive assistance Ability to work independently and exercise judgment within defined practices and policies Strong organizational skills with the ability to prioritize and manage multiple projects Polished professional demeanor Excellent written and verbal communication skills Ability to anticipate future needs based on past experience Discretion and ability to maintain confidentiality Ability to interact with individuals at all levels of the organization Ability to stay focused amid interruptions and work calmly under pressure Proficiency with PC applications (MS Office, including SharePoint) Physical Demands

Effective communication abilities Manual dexterity and sitting for desk-based work (computer use) Ability to travel or move within and outside serviced facilities as required Work primarily in an office environment The statements shown in this description are not all-inclusive.
