Under general supervision, the Patient Services Coordinator provides administrative support to health care providers in high-volume ambulatory settings, functioning as the primary interface between the patient and the providers. Responsibilities include organizing priorities, completing tasks, managing confidential patient information, scheduling patient appointments and diagnostic testing, referrals, and other managed care related issues. The Patient Services Coordinator handles front desk greeting, check-in/check-out, scheduling, coordinating referrals and authorizations, and managing day-to-day patient flow at check-in and check-out. The role requires creating a welcoming environment and providing outstanding service and will work with colleagues and clinicians in one or more ambulatory settings. Responsibilities

Schedule and reschedule patient appointments in accordance with guidelines; utilize wait lists to fill cancelled appointments. Answer and triage incoming telephone calls; assist patients and families with problem resolution in person and over the phone. Conduct appointment confirmations and send confirmations where applicable. Review daily patient schedules and ensure necessary preparations, accurate demographic and insurance information. Greet patients and visitors; perform front desk duties including payment collection and notifying expected wait times. Coordinate interpreter services and patient transportation as needed. Print pre-visit summaries and post-visit summaries as required. Obtain pertinent new patient information and schedule ancillary appointments. Obtain and coordinate referrals, prior authorizations, and information from referral sources; perform electronic insurance verification. Navigate Epic and other software, and support patient portal and office technology as applicable. Maintain patient confidentiality in compliance with HIPAA guidelines. Provide cross-coverage as needed and support department initiatives. Qualifications and Skills

Essential Qualifications, Knowledge, Skills, and Abilities Interpersonal Requirements

Strong interpersonal and communication skills; able to work cooperatively as part of a team and independently; proficient in English. Ability to communicate effectively with internal and external customers. Technical Requirements

Proficiency with MS Windows; knowledge of managed care, HIPAA, and emergency protocols. Experience with scheduling systems and Epic is desirable. Environmental and Physical Requirements

Fast-paced environment; strong organizational skills; attention to detail; ability to adapt to policy, procedure, and staffing changes. Ability to stand, sit, bend, reach, lift up to 35 lbs with assistance, and move patients as needed; occasional heavy lifting and mobility requirements described. Credentials and Experience

Associate degree in Secretarial Science/Business or secretarial training preferred; high school diploma required. Two years of secretarial experience in medical/healthcare setting preferred; strong customer service skills. English proficiency in speaking, reading, writing, and typing; computer skills including MS Office. Valid driver’s license preferred for local errands. Special Requirements

Days, evenings, weekends, and holidays required; availability for hospital emergencies. Job Details
