Intake Supervisor - IOP/PHP (Intensive Outpatient Program & Partial Hospitalization)

The Intake Supervisor oversees the daily operations of the intake team supporting our Partial Hospitalization Program (PHP) and Intensive Outpatient Program (IOP). This role ensures that all prospective patients experience a seamless transition into care, from initial inquiry through program admission. The Intake Supervisor provides leadership, clinical oversight, and process management to Intake Coordinators while collaborating closely with Clinical Directors and multidisciplinary staff. Responsibilities
Team Supervision & Leadership: supervise Intake Coordinators, provide regular guidance and performance feedback; train new intake staff on workflows, assessments, EMR documentation, and patient communication; coordinate team schedules to maintain coverage and timely responsiveness to inquiries; foster a collaborative, supportive, and accountable team environment aligned with Clarity Clinic values. Intake Operations Oversight: ensure all patient inquiries and referrals are addressed within 24 hours; monitor intake assessments, treatment planning recommendations, and EMR documentation for accuracy and compliance; oversee insurance verification and pre-authorization processes to ensure accurate benefit information; track patient admissions, denials, and referral outcomes to support process improvements. Clinical & Process Support: provide consultation to Intake Coordinators on complex cases, including risk assessments and level of care determinations; collaborate with Clinical Directors, therapists, and multidisciplinary staff to ensure smooth admissions into PHP/IOP; identify process gaps and implement workflow improvements to increase efficiency and patient satisfaction; participate in quality improvement initiatives and maintain familiarity with best practices in intake and admissions. Qualifications And Minimum Requirements
Fully licensed mental health professional in Illinois (LCSW, LCPC, LMFT, PsyD, or equivalent preferred). 3+ years of experience in mental health intake, admissions, or case management. Prior supervisory or team lead experience preferred. Strong knowledge of insurance verification, PHP/IOP coverage, and pre-authorization requirements. Excellent organizational, communication, and leadership skills. Proficiency with EMR systems and documentation standards. Location
Arlington Heights Clinic (hybrid: 3 days in office, 2 days remote). Benefits and Perks
