Overview
This international law firm is seeking a highly organized and experienced Legal Secretary to provide comprehensive support to the Chief Operating Officer, New York Managing Partner (White Collar & Regulatory Enforcement), and several other senior leaders. This role requires a proactive professional with a strong background in supporting C-suite executives and litigation attorneys within the legal industry. Base pay range
$90,000.00/yr - $110,000.00/yr Responsibilities
Executive Support: Manage complex calendars, including scheduling meetings across time zones and coordinating internal/external appointments. Arrange domestic and international travel, including flights, accommodations, ground transportation, and itineraries. Prepare and process expense reports and reimbursements. Handle confidential information with discretion and professionalism. Serve as a liaison between executives and internal/external stakeholders. Litigation Support: Draft, format, and proofread legal documents including TOAs (Table of Authorities), TOCs (Table of Contents), pleadings, and correspondence. File legal documents with federal and state courts (e-filing experience required). Maintain case files and manage document organization for active litigation matters. Track deadlines and ensure timely submission of filings and court documents. Administrative Duties: Answer and direct phone calls, manage email correspondence, and handle incoming/outgoing mail. Coordinate meetings, conference calls, and video conferences. Maintain contact lists and update client information in firm databases. Assist with special projects and other administrative tasks as needed. Profile
Minimum 7 years of experience as a legal secretary, preferably in a law firm setting. Prior experience supporting C-suite executives is required. Strong litigation support experience, particularly in white collar or regulatory enforcement matters. Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and legal document management systems. Excellent written and verbal communication skills. Ability to work independently, prioritize tasks, and manage multiple deadlines. High level of professionalism, discretion, and attention to detail. Preferred skills: Familiarity with court rules and procedures in New York and federal jurisdictions. Experience with document comparison tools (e.g., Workshare, DeltaView). Knowledge of billing and time entry systems (e.g., Elite, Aderant). Job Offer
