Within Finance, Planning & Budgeting (FPB), Travel Services serves as the primary point of contact for University faculty, staff, and student workers regarding designated UW travel policies, procedures, and processes. The hallmark of Travel Services is delivering timely, accurate, and customer-focused support in a fast-paced university environment. Reporting to the Assistant Director for Customer Engagement, Travel Services & Procurement, the
Training & Communications Specialist
will play a key role in developing and implementing training and communication strategies that support Travel Services’ activities. This includes designing and delivering training frameworks for users and stakeholders through both online (eLearning) and live formats. Key responsibilities include: Coordinating with Procurement customer support, technical application management teams, and designated stakeholders to identify and evaluate training and resource needs for both ongoing operations and emergent system changes
Developing, updating, and maintaining accurate, accessible, and timely training content for business processes.
Assessing training requirements and resource needs based on assigned projects
This position also serves as the primary point of contact within Travel Services for University departments including campuses, medical centers, and research centers. Success in the role requires critical thinking, problem solving, and interpersonal skills; a commitment to exceptional customer service and extensive knowledge of the University of Washington and the State of Washington travel policies, procedures, and systems
Duties & Responsibilities Coordinate and support the day-to-day activities of the University’s Travel Program
Develop and deliver engaging training sessions and resources on travel systems, policies, and procedures
Provide consultation and customer service to departments, ensuring compliance with UW, state, and federal travel requirements
Collaborate with Procurement, technical teams, and stakeholders to troubleshoot system issues and support system enhancements
Manage relationships with travel suppliers and promote the use of University travel contracts and agreements
Conduct compliance audits, analyze travel program data, and prepare reports to identify trends and recommend improvements
Communicate policy updates and regulatory changes clearly and effectively to University stakeholders
Support audits, investigate discrepancies, and implement solutions to ensure accurate travel and expense processes
Contribute to program improvement through feedback collection, risk analysis, and business proposals
Train and cross train staff within UW Finance, Planning and Budgeting and other duties as assigned
Requirements Bachelor’s Degree and a minimum of two years of experience working independently and making decisions as necessary; ability to manage multiple priorities, coordinate projects in a complex organization, client management, training, and/or marketing and communications Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration Must be highly organized, proven attention to detail and accuracy, and resourceful in finding solutions Experience working with financial and procurement systems which demonstrate success in: Providing customer support Communication effectively through oral and written means Participating on project teams using data-driven decision-making and reporting success metrics Proficiency in the entire Microsoft Suite of programs Desired Experience using content management systems such as Drupal Experience working with state university or other state institution systems Experience leading project teams Experience in marketing a program Compensation, Benefits and Position Details Pay Range Minimum: $61,368.00 annual Pay Range Maximum: $75,012.00 annual Other Compensation: - Benefits: For information about benefits for this position, visit https://www.washington.edu/jobs/benefits-for-uw-staff/ Shift: First Shift (United States of America) Temporary or Regular?
