Overview

We’re seeking a Sr. Document Control Specialist to support a large, heavy-civil infrastructure transit program. In this role, you’ll monitor the full document control lifecycle, with a strong emphasis on SharePoint-based document management and workflow automation. You’ll collaborate closely with technical teams and both internal and external stakeholders to ensure all program documentation is consistently accurate, up-to-date, properly approved, securely stored, and readily accessible. This is a long term, full-time, hybrid (3 days in office, 2 of which must be Tuesdays and Wednesdays) position located in San Francisco, CA. Responsibilities

Maintain document control processes from initial creation through final archiving, leveraging SharePoint and related platforms. Oversee incoming and outgoing documentation, including quality control of consultant and contractor submittals. Assign and validate metadata, document versions, and status codes to ensure full traceability and audit compliance. Ensure all documents align with internal and contractual metadata standards, including document numbering, revision control, and classification. Administer SharePoint system permissions, user roles, and license allocations in coordination with IT and program stakeholders. Troubleshoot and support workflow automations (e.g., Nintex); implement interim workarounds and propose long-term system enhancements. Oversee the integrity of the program’s document repository, ensuring consistent metadata practices, robust search functionality, and reliable reporting. Develop and maintain user training materials; lead onboarding and recurring training sessions for SharePoint and InEight users. Prepare document control logs, version histories, and compliance documentation to support internal and external audits. Collaborate with project managers, QA personnel, technical leads, and contractors to ensure alignment on document workflows and metadata standards. Serve as the point of contact for document control and SharePoint-related help desk support. Participate in system upgrades, migrations, and new platform rollouts to enhance document control efficiency and standardization. Attributes

Bachelor’s degree in engineering, construction management, technical writing, business administration, or related field, or equivalent combination of education and experience. 8+ years document control experience on heavy civil highways, roads, bridges, or transit (passenger rail or bus) projects. Familiarity with ISO standards and compliance frameworks. Working knowledge of InEight or similar DMS platform(s). Expertise utilizing Microsoft SharePoint for document management and administering the SharePoint platform, including setting up workflow automation. Proficiency with Microsoft Office Suite/Office 365 (e.g., Outlook, Teams, Word, Excel, PowerPoint, etc.) Preferred Qualifications

Master's degree in engineering, construction management, technical writing, or business administration. 12+ years document control experience on heavy civil highways, roads, bridges, or transit projects. Experience setting up workflow automation using Nintex or Power Automate. Proven ability to manage full document lifecycle and enforce metadata compliance across high-volume environments. Familiarity with ISO 19650 standards, government compliance requirements, and program-level QA/QC procedures. Compensation and Benefits

The salary range listed for this role is $104k-$119k/year ($50-$57/hour). Final salary offered will be based on multiple factors including experience, skills, education, certifications/licenses, and location. Benefits
