Overview

Senior Scheduler-Neurosurgery (Medical Center) – Houston Methodist Specialty Physician Group. The Senior Scheduler is responsible for providing access to care and scheduling patients for complex services (e.g., surgery, special procedures) in coordination with patients, facilities, and providers. The role may include pre-registering patients in the electronic health record (EHR) to obtain pre-certification, authorization, and verification of insurance benefits. The position also serves as a resource and trainer for less experienced staff. Responsibilities

Promotes a positive work environment and contributes to a dynamic team-focused unit to achieve departmental and organizational results. Act as liaison between patient, facility, and physicians to ensure exams, tests, and procedures are scheduled timely, accurately, and appropriately; communicate special requests and add-ons with the appropriate department as needed. Coordinate with departments throughout the facility to address scheduling barriers and maintain open lines of communication with physicians, patients, and service areas regarding actions and outcomes. Serve as a resource and trainer for less experienced and new staff; orient, guide, and mentor team members to build confidence and competency. Provide pre-registration services as appropriate to support timely pre-certification, authorization, and insurance verification. Service Essential Functions

Schedule patients for complex services (e.g., surgery, special procedures) on an ongoing basis; synchronize appointment calendars based on physician/department availability and urgency of patient needs; may provide pre-registration services. Obtain valid, compliant orders and schedule patients according to physician orders and department criteria; enter all diagnostic, surgical, and special procedures into the schedule. Confirm appointments, provide location directions, relay pre-appointment preparations, and arrange interpreter, mobility, or other assistance as needed. Establish or update hospital account records with detailed patient demographics and insurance information in the EHR; select insurance plans and determine medical necessity. Respond promptly to requests from staff, patients, and physicians; reschedule or cancel appointments as needed; assist with resolving EHR work queues; generate reports and assist with department correspondence as directed. Quality/Safety Essential Functions

Communicate to resolve patient access and quality service matters; maintain open communication with physician, patient, and service areas regarding actions and outcomes; resolve complex problems. Schedule patient appointments using standard operating procedures and enter data into the EHR with thoroughness, accuracy, and timeliness. Meet scheduling goals set by the department (e.g., abandonment rate, productivity). Finance Essential Functions

Gather demographic and insurance information to verify insurance, obtain authorization, and determine patient portion prior to service date. Organize time effectively, minimize incidental overtime, set priorities, and assist other team members during heavy workloads. Growth/Innovation Essential Functions

High School diploma or equivalent education (e.g., GED or equivalent, partial or full post-secondary education). Work Experience

Four years of experience in a medical setting or call center environment, including two years of medical scheduling experience. Licenses and Certifications – Required

Ability to safely perform the assigned job, assessed through ongoing skills and performance evaluations. Proficiency in English (speaking, reading, writing) essential for safety-related activities. Effective communication with patients, physicians, families, and co-workers with a customer service focus. Ability to multi-task and adapt to varying needs of patients, physicians, and department. Knowledge of mid-level registration/access functions and insurance procedures; familiarity with insurance network parameters. Problem-solving ability; basic medical terminology and coding knowledge. Ability to remain calm in stressful situations; strong customer service and professional communication skills. Proficient computer skills and ability to learn multiple software programs; attention to detail and speed. Strong training, leadership, and mentoring abilities. Supplemental Requirements
