Real Estate Tax Lease Analyst

The Real Estate Lease Analyst is responsible for independently managing the integrity of real estate portfolio data for a complex portfolio and providing related direct support to the National Real Estate Services team. This includes all the responsibilities listed in the Accountabilities Sections below. Responsibilities

Update the Common Spirit Owned and Leased Property Database as new facilities are acquired, sold, or leased. Prepare lease abstracts and edit them for accuracy, and manage a third-party abstractor to ensure a high level of quality. Track payables and receivables associated with the leases in the portfolio and prepare the appropriate supporting documentation and rent reports for approvals. Prepare invoices for subtenants, reconcile subtenant accounts, review incoming invoices for errors/accuracy with lease documents, and ensure correct coding. Prepare and distribute critical date reports, maintain the lease management system for tracking important dates and tasks. Perform annual operating expense reconciliations, monitor audit windows and audit requirements contained in the lease documents. Conduct financial analysis as needed, including AR/AP, rent rolls, and budgets in accordance with required accounting principles, such as ASC842 and GAAP. Support tax team with parcel research and tax payment histories as needed. Manage and research vendor payments, including the preparation of documentation to obtain purchase orders (PO), obtain approval of invoices and submit for payment, and track payments against POs when required. Manage the Tenant Improvement Reimbursement process, assuring all owed reimbursement from landlords are collected as required. Correspondence with hospital administration and Foundation clients, landlords, brokers and associated real estate service providers regarding the provision of real estate facilities and services. Prepare FMV documentation and NP V worksheets, and submittal to legal for document preparation and legal approval. Manage the lease execution process, including lease distribution to all related individuals; assure insurance requirements are met, obtaining W9 information from landlords. Coordinate meetings and provide administrative support for Managers of Corporate Real Estate Services, including assisting in preparation of PowerPoint presentations, Webex, telephone support and the submission of Lease Services Request to Legal. Analyze property financial statements, rent rolls, operating expenses and proposed proformas. Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; benchmarking state-of-the-art practices; participating in professional societies. Prepare ad hoc reports from Common Spirit Lease Real Estate Database. Independently collect real estate transactional data in support of RE managers with the lease, joint ventures, acquisitions/disposition transactions. Manage the acquisition of information from brokers, appraisers, title officers, legal and associated tasks in preparation for real estate transactions. Assist in preparing analysis and reports for real estate transactions including due diligence for new acquisitions and sales, joint ventures and mergers, requests for proposals (RFPs) for MOB developments and associated projects, NPV analysis, LOI preparation, Common Spirit leases and real estate transaction processes, tenant signage, maintaining legal log. Assist in the preparation of RFP respondent comparison and analysis spreadsheets for developer selection process. Gather and evaluate economic, demographic and other associated real estate market data. Prepare periodic PowerPoint presentations for hospital and corporate senior management projects. Notes
