We are seeking a highly capable and experienced Executive Assistant to support a dynamic, high-performing Division President leading a $750M+ business unit on the West Coast. This role is ideal for someone who is exceptionally organized, tech-savvy, and confident in navigating executive priorities independently. You will be the go-to person behind the scenes helping to execute a bold operating plan within a traditionally structured industry undergoing transformative change. This is more than a support role; it’s a chance to shape the impact of a division that influences thousands of employees and customers nationwide. What You’ll Do
Executive Administration: Manage calendar scheduling, coordinate complex travel logistics, and prepare and reconcile expense reports. Communication Management: Serve as a primary point of contact and gatekeeper, demonstrating a high degree of integrity and professionalism. Handle executive-level communications with discretion while keeping the business running smoothly. Meeting & Event Logistics: Plan and execute meetings, leadership offsites, and key engagements—ensuring all logistics are handled end-to-end. Project Assistance: Support key executive initiatives with light-touch administrative research, reporting, and presentation development. Is This You?
Experienced: 7+ years in senior-level executive support roles, preferably in Fortune 500 or similarly complex environments. Technically skilled: Fluent in Microsoft Office Suite (Outlook, Excel, PowerPoint, Teams). Proficient with travel/expense platforms such as Concur and comfortable adopting third-party apps (e.g., Monday.com, Calendly). Resourceful & Self-Directed: Proactive, independent problem-solver who anticipates executive needs. Detail-Oriented & Dependable: Strong logistics and execution with high accuracy and follow-through. Professional & Composed: Discreet, trustworthy, and able to build confidence across the organization. Excellent Communicator: Strong written and verbal communication skills across all levels.
