Job Summary The Associate Director, Main Campus Admission Operations, is a critical leadership role supporting the recruitment, enrollment, and retention of undergraduate students at Post University. This position oversees the operational functions of the Main Campus Admissions team, ensuring efficient processes, data integrity, and exceptional service throughout the student lifecycle. Reporting to the Director of Main Campus Enrollment, the Associate Director of Admission Operations is responsible for managing student file completion, coordinating outreach efforts, and supervising professional staff and student workers. This role also serves as a key liaison with internal departments and external partners to support strategic initiatives, including admissions events, communications, and New Student Orientation. The ideal candidate will demonstrate strong organizational skills, attention to detail, and the ability to lead and motivate teams. They will use data to inform decision-making, implement best practices, and contribute to developing strategies that enhance student engagement, enrollment outcomes, and overall institutional success. Essential Functions Manages and assists in the stitch-in process for all students, including coordinating outreach for missing documents and communicating important information about next steps to prospective and returning students. Tracks, manages, and reports on overall student file completion, enrollment, and retention metrics. Sets priorities for outreach and provides coaching and assistance for members of the main campus enrollment team. Implements Satisfactory Academic Progress policies and procedures and counsels academically dismissed students on the reinstatement process. Coordinates student registration to identify students who may face academic challenges and strives to overcome these issues to promote student success and retention. Serve as the primary liaison between the Main Campus Admissions team and the Office of Campus Life, working closely with the Director of Campus Life to support the planning, coordination, and execution of New Student Orientation programs. Collaborate with the Director of Main Campus Enrollment to strategically develop and manage a comprehensive admissions event calendar that supports recruitment goals. Lead the planning and execution of major on-campus admissions events, including Open Houses, Accepted Student Days, and other high-impact engagement opportunities. Oversee the coordination and timely distribution of all prospective student communications and mailings to ensure consistent and effective outreach. Recruit, train, and supervise student workers responsible for data entry, campus tours, event support, and general office operations. Provide leadership and daily oversight to the admissions Operations team, ensuring alignment with departmental objectives and operational efficiency. Partner with the Director of Main Campus Enrollment to manage relationships with external vendors and internal university stakeholders, particularly those involved in enrollment communications and marketing initiatives. Assist team members in meeting and ideally exceeding established team goals. Facilitate weekly team and floor-wide meetings to address best practices and strategies. Takes initiative to make meaningful recommendations that provide best practices and/or processing improvements. Recordkeeping responsibilities include data entry of student information to ensure full and proper documentation for compliance and excellent student service. Understand all applicable policies, procedures, regulations, and laws regarding higher education enrollment, retention, and financial aid. Applies and maintains correct knowledge of laws applicable to the job duties of this position. Performs daily in a manner to avoid any liabilities to Post University. Consistently safeguards private and confidential information at all times. Performs other related duties as assigned. Minimum Qualifications & Competencies To perform this job successfully, an individual must perform each essential function satisfactorily. Knowledge, Skills and Abilities A bachelor’s degree is required; a master’s degree is preferred. A minimum of 5 years of experience in higher-education administration is desired. A minimum of 1 year of experience in a student services coordinator (or equivalent file completion management) position is preferred. A minimum of 2 years of supervisory experience is preferred. Superior relationship building, teamwork, and communication skills. Excellent organizational and interpersonal skills. Excellent PC skills and proficiency in Microsoft Office and internet applications, and database software are a must, preferably with Campus Nexus experience. Must be a self-starter with the ability to multitask. Must be able to work in a team-oriented, objective-focused environment.
