Overview
The Director of Executive Operations to the CEO serves as a strategic thought partner, operational leader, and trusted gatekeeper. This hybrid role combines the tactical execution of an Executive Assistant with the strategic oversight of a Chief of Staff, ensuring the CEO’s time, energy, and priorities are focused on the organization’s most critical goals. The individual in this role will manage executive operations, lead key cross-functional initiatives, and provide high-level administrative and logistical support with discretion and professionalism. Key Responsibilities Executive Office Management & Strategic Support
Partner with the CEO to set priorities, track progress, and ensure alignment with organizational goals. Lead and manage special projects, initiatives, and strategic planning processes on behalf of the CEO. Act as a liaison between the CEO and senior leadership, staff, board members, and key stakeholders. Prepare briefing materials, presentations, and reports for high-level meetings and engagements. Monitor organizational performance metrics, follow up on action items, and ensure accountability.
Executive Administration & Calendar Management
Manage the CEO’s complex calendar, including prioritizing and scheduling meetings, travel, and events. Prepare and organize agendas, talking points, and supporting documents for meetings. Coordinate domestic and international travel, accommodations, and itineraries. Draft and edit correspondence, communications, and presentations on behalf of the CEO.
Governance & Board Relations
Support preparation of board meeting agendas, materials, and minutes. Maintain confidentiality and professionalism in all board interactions.
Operational Coordination
Anticipate the CEO’s needs and proactively address operational and logistical issues. Optimize processes and workflows to improve efficiency in the Executive Office. Manage budgets and expense reports for the CEO and executive initiatives.
Qualifications Education & Experience
Bachelor’s degree required; advanced degree preferred. Minimum 7–10 years of combined experience in executive support, operations, or project management. Experience in healthcare, nonprofit, or mission-driven organizations preferred. Demonstrated success in managing cross-functional projects and leading through influence.
Skills & Competencies
Exceptional organizational skills and attention to detail. Strong written and verbal communication skills. Strategic thinker with the ability to translate vision into actionable plans. Ability to manage multiple priorities under tight deadlines. High emotional intelligence and professional discretion in handling sensitive matters. Proficiency with Microsoft Office Suite, project management tools, and virtual collaboration platforms.
Travel Requirements
Travel up to 15% may be required
