The Executive Assistant II provides high-level administrative support primarily to the Senior Vice President, Chief Pharmacy Officer, under minimal supervision. Work requires some analysis and use of initiative and independent judgement. The Executive Assistant II communicates on behalf of executive(s) to other employees and handles increasingly complex tasks with considerable latitude for independent judgement. The role maintains knowledge of corporate policies and supports broad departmental operations. Location: onsite in Boston, MA with up to one day per week remote. The selected candidate may work remotely from New England states (ME, VT, NH, MA, CT, RI). Responsibilities

Provide knowledgeable and skilled general administrative support to Vice Presidents and above or a comparable level executive. Advanced communications support; proactively triage issues and determine appropriate action in response to inquiries; act as designee of leader in specified areas. Manage complex calendars for senior executives, anticipating conflicts and resolving scheduling issues. Assist in preparing presentations; ensure room reservations and A/V setup for VP or SVP-hosted meetings. Collaborate with leadership, HR, and hiring managers to support onboarding of new hires. Track departmental workforce (employees, contractors, consultants) and maintain updated organizational charts. Coordinate events, meetings, retreats, and other group gatherings with internal and external entities; arrange speakers, hosts, and catering as needed. Prepare confidential or politically sensitive documents and correspondence. Book complex domestic and international travel itineraries. Attend administrative leadership team meetings; ensure agendas are set, facilitators identified, and action items followed up on. Process invoices and coordinate with Accounts Payable, including budget codes and reimbursements. Oversee department purchasing cards, online reconciliation, and receipt submission. Process requisitions, purchase orders, personnel and other administrative forms for the department. Provide oversight of operational/administrative functions to department managers, including maintaining SOPs and staff training as needed. Maintain professionalism, discretion, and confidentiality on highly sensitive topics. Improve workflow, operating efficiency, and service quality within the department. May provide mentorship, supervision, or management to junior administrative staff. Supervisory Responsibilities

No direct reports; may provide mentorship or supervision to junior administrative staff. Minimum Education

High school diploma required. Bachelor’s degree preferred. Minimum Experience

7 years of administrative experience, with at least 2 years in an Executive Assistant role. License/Certification/Registration

N/A Knowledge, Skills, and Abilities Required

Stellar written and verbal communication skills. Advanced knowledge of Microsoft Office Suite, Google Suite, Zoom, and Adobe. Excellent customer service and professional interaction with peers, leadership, and external contacts. Resourceful with strong problem-solving abilities. Ability to respond with appropriate urgency when needed and to prioritize a high volume of tasks. Experience with budgeting and office systems; ability to teach others as needed. Ability to collaborate with diverse groups and cultures. Ability to handle confidential matters with diplomacy.
