New Patient Scheduling and Processing: reviews referral work queues daily, serves as the primary contact for referring physicians and new patients, manages electronic logs for external referrals, assigns new patients to providers, schedules and registers patients with complete intake paperwork, verifies insurance and referral/authorization information, coordinates pre-appointment tests or appointments, explains first appointment procedures to patients and manages patient expectations. Advanced New Patient Scheduling and Coordination: secures and reviews outside medical records, prioritizes new patient scheduling, informs patients about treatment options and coordinates with research personnel, coordinates consultations with other clinical disciplines, explains care coordination at new patient visits including clinical trials and other procedures. Surgery Scheduling: coordinates scheduling of outpatient and inpatient surgeries, ensures procedures are scheduled within appropriate time frames, communicates with patients, physicians and hospital staff, manages complex scheduling including OR time and equipment utilization. Advanced Surgery Scheduling: coordinates pre-operative anesthesia appointments, manages complex admission/discharge planning, confirms and updates surgical authorizations with insurance, ensures compliance with Medical Center bylaws and regulations, arranges post-surgical appointments and testing. Revenue Cycle: performs cash collection and deposits, communicates policies to patients, obtains and documents insurance authorizations for visits, referrals and procedures, demonstrates competency with CPT/ICD-9/ICD-10 codes for scheduling and authorizations. Moderate Complex Revenue Cycle: monitors open charts and encounters to support revenue cycle workflow, secures information for accurate billing submissions and responds to denials, secures authorizations for procedures and ancillary testing, assists with complex DME and medication authorizations. Advanced Revenue Cycle: secures complex insurance authorizations and tracks renewals, demonstrates competency with HCPC codes for authorization requests, analyzes denial reports and improves workflows, oversees and coaches staff on complex authorization requests. Check-in / Front Desk: greets patients, determines co-pay obligations and collects payments, prioritizes timely registration and maintains practice flow, communicates professionally with patients and monitors the reception area. Advanced Check-in / Front Desk: manages front desk responsibilities including registration, referral processing and scheduling, develops productivity reports to improve co-pay collection, represents clerical team and supports operations and customer service. Cadence Template Builder: creates cadence schedule templates, ensures templates are user-friendly and promote access, generates reschedule reports and ensures timely patient rescheduling. Administrative And Patient Care Coordination Responsibilities: schedules established patient appointments, coordinates with multiple providers, acts as a resource for provider schedules, triages calls and collaborates with clinical staff to address urgent needs. Moderate Complex Administrative And Patient Care Coordination Responsibilities: understands clinical symptoms and escalation levels, provides advanced customer service for medication-dependent patients. Advanced Administrative And Patient Care Coordination Responsibilities: liaises with Concierge Services, tracks patients in parallel care pathways, books radiology appointments and identifies referral problems for review. APeX And IT Specific Skills: performs APEX-specific functions, works with APeX workqueues and promotes use of check-in kiosks. Moderate Complex APeX And IT Specific Skills: pends orders, adjusts lab order classes and supports Patient-Centered Medical Home guidelines. Phone Bank: responds to calls, schedules appointments, documents call information, uses Phone Bank protocols and escalates urgent calls when needed. General Performance: prepares and files patient charts, maintains confidentiality, participates in training and performance improvement projects, complies with infection control and safety procedures. Advanced General Performance: facilitates float coverage and contributes to the Patient-Centered Medical Home application workgroup. Customer Service Outreach: interacts with patients, responds to inquiries and complaints, supports performance improvement and communicates delays to patients. Lead Role Duties: resolves day-to-day operational issues, advises on process improvements, supports staff orientation and training. Qualifications
Required Qualifications
High School graduate or equivalent with four years related experience; or college degree and 6 months related experience; or equivalent combination of education and experience. Successfully passes fingerprinting protocol and is approved to be a cash collector. Strong computer skills with proficiency in at least two Office-type software programs (Outlook, Word, Excel); ability to navigate multiple patient record systems; comfortable sitting at a computer terminal with headset for extended periods. Ability to analyze situations, prioritize work, and develop solutions; ability to work with minimal supervision and under deadlines. Excellent customer service and communication skills, both over the telephone and in person; basic math skills. Demonstrated administrative/office coordination skills and knowledge of medical practice terminology. Preferred Qualifications
Demonstrated healthcare experience in patient scheduling, insurance verification, medical record data abstraction, or patient financial services. Experience with appointment, ancillary service or surgical scheduling; bilingual or multilingual abilities (Spanish, Cantonese, Russian) strongly preferred.
