Overview The Executive Assistant will provide high-level administrative and executive support to the Department of Commerce Office of Budget leadership. The role ensures the effective coordination of calendars, meetings, correspondence, and documentation to support the Department’s budget formulation, enactment, and execution activities.

Background The Office of Budget provides strategic guidance in planning, programming, budgeting, execution, and reporting of resources across 12 bureaus within the Department of Commerce. The Executive Assistant plays a key role in supporting this mission by enabling seamless administrative operations, improving internal processes, and ensuring timely communication and document management.

Responsibilities

Receive and manage incoming calls, visitors, and inquiries in a professional manner.

Reserve conference rooms and coordinate meeting/event logistics.

Perform general office duties (photocopying, scanning, filing, document handling).

Manage office supplies, equipment, and vendor coordination.

Schedule and maintain executive calendars, coordinating across multiple stakeholders.

Record, transcribe, and distribute meeting minutes accurately and promptly.

Track and follow up on assignments from internal and external stakeholders.

Draft, edit, and distribute correspondence, policies, and briefing materials.

Review and edit documents for accuracy, consistency, and compliance with DOC standards.

Assist in preparing graphics, charts, and presentations.

Provide guidance on administrative and procedural matters requiring judgment.

Evaluate internal processes and recommend improvements to efficiency.

Prepare required deliverables, including weekly calendar snapshots, monthly reports, quarterly summaries, and ad hoc reports.

Qualifications

At least 6 years of progressively responsible administrative or executive support experience.

Exceptional written and verbal communication skills.

Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Ability to work independently, manage competing priorities, and meet deadlines.

Experience handling confidential and sensitive information with discretion.

Strong attention to detail, organizational skills, and professional judgment.

Education Bachelor’s degree in Business Administration, Communications, Public Administration, or related field preferred. Equivalent professional experience may substitute for degree requirement.

Location/Hours/Remote Flexibility

Primary work location: Department of Commerce, 1401 Constitution Avenue NW, Washington, DC 20230.

Standard hours: Monday–Friday, 8:30 AM – 5:00 PM (excluding Federal holidays).

Occasional after-hours support may be required with advance approval.

Unscheduled remote/telework may be authorized on a case-by-case basis by the Task Manager.
