The Executive Coordinator of the Climate and Energy Program (CEP) plays a critical role in ensuring the Senior Vice President (SVP) and the Senior Strategy Advisor operate at their highest level of impact. This position is responsible for providing a mix of administrative and logistical support to help advance the program’s goals. This role involves drafting content, developing meeting agendas, preparing background materials, and conducting research to support high-level engagements. The role involves managing scheduling, coordinating logistics, and overseeing administrative responsibilities to ensure smooth day-to-day operations. Beyond these core duties, the Executive Coordinator to the SVP of CEP proactively improves efficiency in day-to-day administrative processes and suggests ideas to streamline logistical processes and improve overall workflow. This position requires exceptional organizational skills, attention to detail, and the ability to prioritize competing demands. While engagement with external stakeholders will be guided by substantial direction, the Executive Coordinator will be expected to work independently to anticipate needs and drive results.
Responsibilities
Managing and tracking all incoming external and internal scheduling requests for the SVP and assisting the SVP and CEP leadership in setting and meeting agreed upon deadlines;
Attending relevant meetings with the SSA or SVP, taking notes on key points, outcomes, and decisions that need to be made and sharing next steps;
Represent the office of the SVP in necessary internal meetings related to administrative contexts and logistics;
Work alongside the TW Events Team to provide support and ensure success of CEP events as needed;
Structuring documents such as background briefing materials for meetings and events, meeting agendas, meeting summaries and follow-up emails, and other written materials;
Proofreading documents as needed for the office of the SVP;
Coordinating travel arrangements, conference/event registrations, and other necessary logistics;
Submitting timesheets, invoices, contracts, contact lists, coding and approving credit card transactions;
Providing administrative and logistical support to the SSA on CEP initiatives to shape and execute strategic initiatives that align with the CEP’s priorities, through strengthening partnerships, expanding networks, and proactively identifying opportunities for collaboration and growth;
Assisting with logistical scheduling of meetings with high-value external stakeholders (e.g., donors, partners, policymakers) and assisting in coordinating communication to support relationships between the SVP and external stakeholders.

Salary
Salary Range:
$50,000 - $60,000, annually

What we’re looking for
A bachelor's degree in a relevant field and/or 1 year of professional work experience;
A basic understanding of the federal government and US politics, and a passion for addressing US energy demand and climate change;
Excellent communication, organizational, and administrative skills and unimpeachable professionalism in dealing with both internal and external contacts;
Comfort and familiarity using AI tools for basic research, in accordance with Third Way policy;
Ability to thrive working under short deadlines and deliver in a fast-paced environment juggling multiple projects with competing priorities and various stakeholders;
Impeccable attention to detail, organization, and proofreading skills;
Demonstrated ability to draft and proofread clear, concise materials (e.g., agendas, meeting notes, emails, briefing documents).

Onboarding and Milestones Within 1 month

Within 2 months
you'll understand each employee’s role, attend program overview sessions, align with TW’s style guide and production processes, participate in professional development, and coordinate daily operations for the SVP and external stakeholders.
Within 3 months
you'll feel comfortable with staff and work, attend departmental meetings with greater context, contribute ideas in one-on-ones, participate in external functions, complete a 90-day self-evaluation, establish long-term goals, and support events and CEP goals.
