is hiring for a
Records Associate
to work 1st shift in a corporate law firm environment. The role involves delivering exceptional customer service, file creation and labeling, retrievals, transfers, destruction, tracking, and document scanning. Regular professional written and verbal communication with clients, other departments, and vendors is required. Coordination of records scanning and retrieval projects with internal teams and external vendors is also required. Proficiency in Microsoft Word, Excel, Outlook, Adobe PDF, eDocs DM, and LegalKey is essential.
Job Responsibilities
Follow all established internal Records procedures
Create new files and revise existing files
Enter data into the records management database
Adhere to document retention policies
Label, move, and shelve files
Follow up on checked-out files as needed
Process and file incoming records under their respective client matters
Participate in diverse ongoing Records projects
Coordinate and track scanning projects between Records and other departments
Daily scanning of documents using desktop scanners and Adobe PDF
PDF quality control, profiling, and saving to the Document Management System
Use a handheld barcode scanner to track location and movement of internal files
Track and retrieve files from internal or external locations for client requests
Process inactive and closed files in preparation for transfer to off-site storage
Work with offsite storage vendors on retrieval/storage via web interface or phone
Route and track locked shred bins for the firm’s NY office
Maintain daily productivity tracking logs for department activities and projects
Research client and matter information in firm databases as needed
Assist with any other reasonable Records-related requests
Maintain confidentiality of all firm records and files
Qualifications High school diploma or equivalent; college degree preferred.
Prior legal records experience required
Excellent attention to detail and consistent task focus
Professional written and oral communication skills
Excellent interpersonal and teamwork skills
Ability to work with minimal supervision
Ability to multi-task and meet multiple deadlines
Intermediate Windows 10 computer skills
Proficiency in Microsoft Word, Excel, and Outlook
Experience with LegalKey and eDocs DM
Document scanning and Adobe PDF tools experience preferred
Ability to handle sensitive and confidential materials
Capacity to climb short ladders/step stools
Must be able to lift up to 50 lbs. and push carts with files regularly
Able to load, push, and unload carts of boxes or files as needed
Ability to understand client inquiries and provide effective responses
