Description: Reporting to the Vice President of Philanthropy, the Philanthropy Data Specialist is and in person position responsible for managing Children First’s donor database system, Blackbaud Raiser’s Edge. This includes, but is not limited to data entry, a strong emphasis on analysis and recommendations, retrieval of information, systems interface maintenance, scheduled monitoring and reporting, training, and merchant services. The Philanthropy Data Specialist coordinates with the Data Consultant, Program Data Specialist, Program, Philanthropy, and Operations Staff, and the leadership team to ensure cross-departmental data collaboration.This position is required to exercise judgment and discretion. He/she assists the Philanthropy Department in fundraising, special events coordination, public relations, and provides administrative support to all fundraising initiatives and events. He/she will also promote the community image of Children First. Work is reviewed through regular coaching and feedback and annual evaluations with supervisor.
Requirements: 1.Donor Software System and Giving Platform (s) Management:Maintains professional and respectful communication with all colleagues, donors, and volunteersProvides data analysis, including alignment with departmental and agency goals, objectives, and outcomesRecommends action plans/solutions to issues and/or opportunities identified in such analysis. Collaborate with program and philanthropy staff to ensure that all data relevant to funders is captured timely and accuratelyAdministrates user rights, access, and passwords and keep them in shared philanthropy fileDevelops and manages business processes for data entry, analysis, retrieval, system procedures, updates, and routine database cleaning and purgingOversee the input and management of all constituent data, ensuring accurate tracking of campaign performance, appeal records, and donor interactionsManage and create new appeals, campaigns, and data tables within Raiser's Edge to support fundraising efforts and ensure accurate tracking and reportingProcess, maintain, and share monthly revenue and dashboard reports Record and acknowledge all gifts daily including cash, pledges, stock transfers, wires, matching gifts, and in-kind donationEnsure accuracy of donor records, mailing list changes, online transactions, and entries by authorized usersReconciles all donations against appropriate campaign and appeal codesConfigure and maintain online donation forms and appeal campaigns within Raiser's Edge online giving platformCollaborate with the financial team to ensure all wire transfers and ACH payments are received and accurately recorded in the database systemProcesses and manages EFT, staff giving, United Way, Benevity, and matching gifts programsManage all giving platforms including CyberGrants, Integrated Payables, Front Door, PayPal, and othersResponds to donor inquiries and processes phone donationsCreate and develop reports, new queries, strategies for mailings, and organized lists for mailingsEnsure that the privacy and confidentiality of donor record access is secured and restricted to relevant personnelConduct donor research for VP of Philanthropy and gather information regarding their philanthropic interests, giving capacity, connections, background, etc.Keep the Philanthropy team informed of any updates or changes within the system to ensure smooth operations and accurate data managementAssist with various moves management processes within Raiser's Edge to ensure effective donor engagement and cultivation strategiesManage and organize live record and digital files, including folders on the shared drive, ensuring proper file structure, adherence to document retention policies, and easy access for team members2.Assists in the stewardship of donor gifts.Process all donor gifts. Works with the Annual Fund & Stewardship Coordinator to send prompt acknowledgment letters (within 2 days) for all gifts received, ensuring timely and accurate processingRespond to donor inquiries regarding paymentsTrack and maintain accurate records of pledged gifts and sponsorships, ensuring timely follow-up and the issuance of invoices for payment as neededWork closely with Philanthropy staff and VP to maintain accurate donor pipeline, LYBUNTs and SYBUNTs for appropriate retention of donors and giftsProvide ongoing support to the Philanthropy team by developing and maintaining standard and custom reports in Raiser’s Edge which are shared on a timely basis3.Collaborate within the Philanthropy Department with board reporting, special projects, major and special events, and donor cultivation.Support RSVPs for major events as needed Track event participation in donor management softwareOversee third-party event platforms and ensure timely and accurate entry of all transaction data into Raiser's EdgeCollaborate with the Volunteer Coordinator to analyze PIR data and create comprehensive reportsAssist with determining annual tax-deductible amounts, event sponsorship, donations, and sponsor requestsSupport facilitation on day of eventsAssist with donor cultivation through tours, thank you notes, and other stewardship activitiesTrack individual and group tours and external cultivation activitiesWorks with the Associate Director of Donor Relations to maintain supply inventory supporting all philanthropy mailings and activities4.
