- Assist answering the switchboard for program, greet guests and clients coming in and out of the program. Control and monitor intake area including first responder for alerting staff to crisis intervention/de-escalation of client situations as necessary. Distribute intakes packets to new clients. Assist Program Coordinator/Manager with job duties as needed to maintain functioning of front reception area and daily clerical duties. Create and update new paper files from clients transitioning into program. Maintain client files through the client's treatment episode. Work with intake coordinator to set up appointments for future intakes. E-mail signed court letters to respective Courts/Probation offices. Assist counselor in facilitation of U/A tests.

POSITION RESPONSIBILITIES:

Answer phones, screen telephone calls, refers incoming calls, takes messages and completes telephone messages as appropriate. Gather and complete all paperwork necessary to open clients in applicable electronic health records. Assist clients with paperwork as needed.

Assemble intake packets for new clients. Verify staff unit of service logs/notes and calculate productivity. Provide weekly productive reports to Manager/ Director.

Computer, typing, scanning, faxing and filing assistance as needed. Gather and complete all paperwork for opening/closing of charts. Open/close client charts.

Position hours are 8:30 a.m. to 5:00 p.m. Breaks are 10 minutes between 10:30 a.m. - 10:40 a.m., mid-day break at 12:30 p.m. - 1:00 p.m., and afternoon break between 2:30 p.m. - 2:40 p.m.

Provides Front Desk coverage assistance on as needed. Updates database and distributes client rosters to staff.

Any other clerical tasks as assigned by Office Manager, Program Manager, and/or Director.

Qualifications

High school graduate. Two year experience as a receptionist handling heavy phones. Computer word processing experience. Type 45 wpm. Good grammatical and organizational skills. Ability to relate to a variety of types of personalities.

Knowledge of related community resources for treatment of substance abuse, mental illness, and domestic violence.

Ability to communicate and work with a culturally diverse adult population as part of a multi-disciplinary assessment, referral and case management team.

Must have a current California driver's license and be insurable by the Center's auto insurance carrier.

Ability to speak Spanish is desirable.
