Team Overview

The Administrative Assistant plays a vital role in the day-to-day and long-term success of the ministry of ADF. This position reports to the Executive Assistant (Office of the President & CEO) and is responsible primarily for providing administrative and communications/correspondence support to the Executive Assistant and providing overflow support to the CEO. The position is highly project-oriented, and the Administrative Assistant will initiate and carry each project through to completion with a high degree of attention to detail, confidentiality, and an overall standard of excellence.

Key Responsibilities

  • Provide comprehensive administrative support to the Executive Assistant, including scheduling, expense reporting, travel coordination, calendar management, bar registrations, compliance tracking, and assistance with supporting the CEO.
  • Coordinate and help manage routine communications and meetings to support the Executive Assistant’s efforts to foster a unified culture aligned with ADF’s guiding principles. Responsibilities include planning Senior Leader events, All Team Meetings, and other organization-wide gatherings.
  • Support the Executive Assistant in ongoing tasks such as continuing legal education (CLE), bar registrations, documenting speaking engagements, and facilitating both internal and external professional interactions.
  • Assist with processing expense reports, timecards, and PTO request approvals for the Office of the CEO.
  • Cross-train and provide support for the Executive Assistant’s responsibilities, including scheduling, travel logistics, inbox management, and planning for Executive Leadership Team meetings (daily, weekly, and quarterly offsite). Serve as backup for the Executive Assistant in supporting the CEO by managing correspondence, communications, and projects critical to the effectiveness and goodwill of the Executive Office.
  • Collaborate with the Executive Assistant to execute executive-level projects and coordinate teamwide and officewide events and activities.
  • Liaise with Finance and HR to process team member recognition awards at the request of the Executive Assistant.
  • Perform related duties and special projects as assigned by the Executive Assistant.

Minimum Qualifications

  • Bachelor's degree in a related field, such as English, Communications, or Business Administration.
  • Minimum of 3 years administrative experience and executive support.
  • Competency in Microsoft Word, Outlook, Excel, PowerPoint, and Adobe Acrobat Pro.
  • Excellent communication skills – verbal, written (including proofreading and editing), and interpersonal communication.
  • Ability to interact at a high level with existing and potential ministry friends, allied attorneys, leaders of other ministries, and executive team members.
  • Superior organizational skills and attention to detail.
  • A high sense of professionalism and ability to maintain highly confidential information.
  • Self-starter with a proven record of punctuality and dependability.

Preferred Qualifications

  • A willingness to travel and attend after-hour events with leadership as needed (a plus, but not required)
